We are looking for an organized and dependable Office Manager & Bookkeeper to support daily operations for a construction company in Stroudsburg, Pennsylvania. This individual will play a critical role in maintaining accurate financial records, managing office operations, driving bids/proposals, supporting project administration, and ensuring smooth communication between customers, vendors, subcontractors, and internal team members


Responsibilities:

• Oversee day-to-day office operations to ensure an efficient, well-organized workplace.

• Manage front desk activities, including greeting visitors, answering calls, and directing inquiries appropriately.

• Monitor inventory levels for office materials and place orders to keep essential supplies available.

• Process accounts payable tasks accurately, including reviewing invoices and preparing payment records.

• Maintain bookkeeping documentation and support routine financial tracking using QuickBooks.

• Assist with construction-related accounting activities and help keep project records organized.

• Prepare and compile bid proposal materials, ensuring information is complete and clearly presented.

• Coordinate administrative support functions such as filing, correspondence, and document management.

• Create and manage project files and customer records\

• Track permits, certificates of insurance, and subcontractor compliance records


• 3+ years of bookkeeping and office management experience

• Experience supporting a construction, contractor, home services, or related business strongly preferred

• Proficiency with QuickBooks and Microsoft Office Suite

• Familiarity with ordering, tracking, and maintaining office supplies and related inventory.

• Experience supporting bid proposal preparation and maintaining accurate documentation.

• Understanding of job costing, accounts payable, accounts receivable, and payroll processes
