The Office Operations Specialist serves as a key operational resource supporting the day-to-day functions of the Corporate Office. This role is responsible for ensuring the efficient coordination of office operations, executive and departmental support, business processes, and workplace services that contribute to a productive, organized, and professional work environment.

The Office Operations Specialist partners with corporate leadership, department leaders, and cross-functional teams to coordinate meetings and events, manage executive calendars, prepare business communications and presentations, maintain departmental records and SharePoint sites, process invoices and vendor payments, and support a variety of operational initiatives. In addition, the role provides administrative support for HR Operations projects, process documentation, reporting, and other workforce initiatives that enhance operational efficiency and employee experience.

Serving as the first point of contact for visitors, vendors, and internal stakeholders, this position plays an integral role in creating a positive workplace experience while ensuring office operations run smoothly and efficiently. The ideal candidate demonstrates exceptional organizational and time management skills, strong attention to detail, sound judgment, professionalism, and the ability to anticipate needs, manage competing priorities, maintain confidentiality, and deliver outstanding customer service in a fast-paced environment.

Responsibilities
  • Provide administrative support to the operations and events manager and department leaders.
  • Manage complex calendars, schedule meetings, and maintain department and executive meeting schedules.
  • Assist with meeting logistics, including room reservations, catering, audiovisual support, agendas, and meeting materials.
  • Prepare, edit, and format PowerPoint presentations, reports, correspondence, and other business documents.
  • Maintain and organize SharePoint sites and departmental files.
  • Serve as a liaison between internal departments, vendors, and office visitors to ensure a positive customer experience.
  • Support office operations, employee engagement initiatives, and special projects as assigned.
  • Assist in managing office communications and collaborate with internal teams and external vendors.
  • Handle confidential information with professionalism and discretion.
  • Perform additional administrative duties as assigned.
Qualifications
  • Bachelor's degree preferred.
  • Minimum of five years of administrative or executive support experience.
  • Experience planning meetings, events, or corporate functions is strongly preferred.
  • Exceptional organizational, time management, and multitasking skills.
  • Strong written and verbal communication skills.
  • Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams; SharePoint experience is preferred.
  • Excellent proofreading and attention to detail.
  • Ability to anticipate needs, solve problems independently, and manage competing priorities.
  • Professional demeanor with a positive, customer-focused attitude.
  • Ability to maintain confidentiality and exercise sound judgment.
