Operations Manager

As an Operations Managerย you will lead and guide a team of Care Experience Coordinators that support Bloomโ€™s Digitalย Healthย andย Homeย Care Services. Inย thisย leadership roleย youย willย optimizeย the effectiveness andย efficiency of theย team, creatingย an environmentย thatย is conduciveย toย individual andย teamย growthย throughย coaching, mentoringย and engagingย staff. Youย will drive your teamโ€™s effectiveness on supporting Bloomโ€™s mandate of providing patients, families,ย Care Proโ€™s, and Partners with theย Bestย Care Experienceย inย theย Homeย Health Care Sector.

ย Primaryย Duties:

ย Intake Coordination and Care Pro/Clientย Management:

  1. Develops master schedule and manages ongoing staffing needs,ย while ensuring an appropriate match between clientย and the abilities/restrictions of field staff (client satisfaction calls within 24 hrs of first shift)
  2. Communicateย withย fieldย staffย andย yourย teamย ofย coordinatorsย toย ensure excellent customerย serviceย toย allย clients
  3. Workย closelyย withย HRย toย recruit,ย train,ย developย andย planย theย successionย ofย highย performing,ย clientย focusedย intake coordinators.
  4. Leadย teamย meetings,ย capacityย planning,ย resourceย allocationย andย reportingย onย performance
  5. Maintainย theย Performanceย Managementย processย including accessing skillsย gaps,ย developingย and deliveringย trainingย support, providingย ongoingย mentorshipย andย coaching andย delivering performanceย reviewsย andย weeklyย check-ins
  6. Organize appropriate coverage of field staff in instances of vacations, leaves of absence, illness orย injury
  7. Monitorย andย maintainย attendanceย managementย program
  8. Provideย daily,ย weekly,ย andย monthlyย reportsย onย variousย metricsย relatedย toย theย roleย suchย asย missedย care,ย referralย acceptance etc.ย toย internalย office
  9. Createย andย maintainย theย clientย assignmentsย forย allย theย coordinatorsย byย geography,ย contractย etc.
  10. Minimize overtime of field staff
  11. Supportย field-staffย outsideย officeย hoursย asย On-call Managerย (occasionalย eveningย and weekends)ย inย orderย toย provideย assistance andย directionย inย caseย of anย emergency
  12. Provide coordination coverage as appropriate when short staffed and during peak times

ย Businessย Development

  1. Expandย ourย contract withย OHaH andย 3rdย partyย referralย sources
  2. Liaseย withย OHaH onย a weeklyย basisย andย beย involvedย inย meetings asย requiredย toย buildย relationships withย OHaH representatives
  3. Provide reports asย neededย toย OHaHย andย 3rdย partyย referrals
  4. Work with clinical managers to ensure they remain up to date and bring ideas forward forย continuous improvementย policies, procedures,ย and company practices including overtime reduction strategies, field staff shortage strategies

ย Additionalย Duties:

  1. Implement innovative and efficient procedures/strategies in areas of recruitment,ย placements, administrative tasks and interviews for time-management purposes and to stay within pre-set deadlines and budgets
  2. Document SOPโ€™sย forย theย intake coordinationย teamย forย futureย training purposes
  3. Collaborates with payroll and HR department to handle field staff inquiries such as payroll issues, letters ofย employment and leave management
  4. Mitigate,ย handleย andย document,ย allย clientย andย fieldย staffย concernsย inย aย timelyย mannerย and,ย asย appropriate,ย notify managers
  5. Maintainย confidentialityย ofย allย clients,ย staff,ย andย companyย informationย atย allย times
  6. Responsibleย forย completingย Incidentย Reportsย forย allย directย reportsย andย fieldย staff whoย injureย themselvesย onย the jobย within 24 hours of the incident and notifying your direct managerย and HR.

Salary range: $55k-$65K based on experience.
