Job description

Seasons Psychotherapy Associates is a growing mental health practice with offices in Davie, Fort Lauderdale, Coral Springs, and Tampa. We're looking for a highly organized, dependable Office Operations Coordinator to help keep the day-to-day physical operations of our practice running smoothly.

This is a hands-on role for someone who enjoys variety, pays attention to details, and follows things through to completion. You'll keep our offices supplied, our vendors coordinated, and our facilities running - so we're looking for someone who can juggle competing priorities, learn new systems quickly, and work independently once they've learned a process.

Healthcare experience is not required.

What You'll Do


  • Coordinate day-to-day office and facilities needs, including supplies, equipment, vendors, repairs, and office access.
  • Support employee onboarding and offboarding logistics - equipment setup, building access, and scheduling coordination.
  • Maintain office-related spreadsheets, trackers, and administrative records for your area.
    Support recurring operational processes and projects across the organization.
  • Coordinate company events and other office or team logistics.
  • Communicate with vendors and follow up on outstanding requests until they're resolved.
    Provide general administrative support to the Operations and leadership teams.


The work varies from day to day. You might be coordinating a vendor, restocking an office, prepping for an inspection, tracking a repair, or helping with a larger project. Some assignments are routine; others require figuring out the next step. Either way, we need someone who keeps track of the details and gets things across the finish line.


What We're Looking For


Our ideal candidate:

  • Has 1-3 years of professional administrative, office, customer service, operations support, or similar experience.
  • Is highly organized, detail-oriented, and dependable.
  • Can manage multiple assignments and priorities without needing repeated reminders.
  • Communicates clearly and professionally by phone, email, and in person.
  • Is comfortable with technology and learns unfamiliar software quickly.
  • Can follow established processes while using good judgment about when to ask questions or escalate an issue.
  • Takes ownership of their work and follows through.
  • Can be trusted with confidential and sensitive information encountered in the course of the work.
    Must be able to successfully complete a Level 2 background screening as a condition of employment. Seasons participates in Florida Medicaid, and this position is subject to applicable background-screening requirements.


You should be comfortable using Google Workspace, spreadsheets, email, and web-based business applications. Experience with systems such as BambooHR, Zendesk, or Trainual is helpful but not required.

A high school diploma or equivalent is required.


Location


This is a hybrid position based in Broward County, Florida. Some work may be performed remotely, but you must live within practical commuting distance of our Davie, Fort Lauderdale, and Coral Springs offices and be available to work onsite as needed.


Reliable transportation is required.
