Office Operations Specialist

We are currently seeking an Office Operations Specialist to join our Baudette Team. The primary purpose of this position is exceptional customer service. This position will be the first point of contact for our customers both on a walk-in basis and over the phone. This position will process incoming sales and work orders for our propane and retail departments and will also be responsible for receiving and applying customer payments
Requirements
Responsibilities and Duties
  • Responsible for office area and first point of contact for our customers
  • Professionally assist call-in propane, petroleum & retail store customers
  • Use tank tracking software to generate weekly route reports
  • Dispatch propane & petroleum drivers
  • Maintain service work schedule
  • Maintain accurate fuels inventories
  • Research and reconcile discrepancies in customer accounts
  • Process monthly statements
  • Keep accurate and organized records
  • Accounts payable/receivable duties
  • Generate customer invoices and assure on time payment

Qualifications:
  • Associate degree/diploma in finance, accounting or related field is preferred.
  • Two years of relevant experience in an office environment
  • Strong knowledge of Microsoft Office programs is preferred
  • Must have excellent time-management and decision-making skills and the ability to stay organized and multitask successfully with multiple priorities.
