Office Associate - Fire Department
Salary: $43,962

Position Summary:
The Office Associate provides administrative, clerical, and customer service support that helps the Fire Department operate efficiently. Serving as a welcoming first point of contact for employees and the public, this role supports daily office operations by maintaining records, assisting with payroll, purchasing, time-clock processes, preparing documents, and coordinating a variety of administrative activities. Through organization, attention to detail, and collaboration, the Office Associate helps support the department's mission of serving the community.
Essential Responsibilities Include:
-Greeting visitors, answering and directing phone calls, and providing excellent customer service.
-Preparing correspondence, reports, agendas, meeting minutes, and other department documents.
-Maintaining records, files, and departmental databases.
-Assisting with personnel documentation and leave records.
-Supporting purchasing, budget, and accounting activities, including purchase orders, invoices, and department-issued purchasing cards.
-Coordinating general office operations, including scheduling, mail distribution, travel arrangements, and office supply inventory.
-Gathering information and preparing routine reports.
-Assisting with special projects, events, training, and other administrative duties as assigned.
Qualifications
- This position requires initiative, sound judgment, strong problem-solving skills, attention to detail, and the ability to prioritize tasks, adapt to changing needs, and work both independently and collaboratively in a fast-paced environment.
- Two years of administrative, accounting, or office support experience.
