Help Build the Administrative Foundation of a Growing Company

SE Roofing Solutions is seeking an organized, detail-oriented HR / Office Manager to lead the administrative operations of our growing commercial roofing company.

This position serves as the administrative backbone of the organization, supporting employee onboarding, payroll coordination, personnel records, vendor compliance, office operations, equipment setup, and company-wide administrative processes.

Position Summary

The HR / Office Manager is responsible for managing the company's administrative infrastructure and employee support functions.

This role ensures employees, subcontractors, vendors, records, payroll processes, certifications, and office systems are properly organized, maintained, and supported.

Success in this position means leadership never has to wonder whether paperwork, payroll, compliance records, or employee administration are under control.

Key Responsibilities

Human Resources & Employee Onboarding

  • Coordinate onboarding for new employees
  • Prepare and maintain employee personnel files
  • Collect and manage:
    • I-9 Forms
    • W-4 Forms
    • Direct Deposit Information
    • Emergency Contact Forms
    • Employee Handbook Acknowledgements
    • Training Certifications
    • Employment Documentation
  • Assist employees with onboarding systems and paperwork
  • Coordinate orientation schedules and employee setup
  • Support employee benefits administration and enrollment activities

Payroll Administration

  • Collect and organize employee time records
  • Review timesheets for completeness and accuracy
  • Follow up on missing or incomplete payroll information
  • Coordinate payroll submissions with accounting or payroll providers
  • Maintain payroll support records and documentation
  • Assist employees with payroll-related questions and issues

Vendor & Subcontractor Administration

  • Maintain vendor and subcontractor files
  • Collect and track:
    • W-9 Forms
    • Insurance Certificates
    • Vendor Agreements
    • Compliance Documentation
    • Payment Information
  • Monitor document expirations and renewal requirements
  • Coordinate vendor setup and administrative support with Operations and Accounting

Employee Records & Compliance

  • Maintain confidential personnel files
  • Track employee certifications, licenses, safety training, and expiration dates
  • Monitor administrative compliance requirements
  • Maintain organized electronic and physical records
  • Support audits, insurance requests, and documentation retrieval

Office Operations

  • Manage daily office administration and organization
  • Coordinate office supplies, equipment, and administrative resources
  • Assist with:
    • Phones
    • Email Accounts
    • Laptops & Technology Setup
    • Software Access
    • Uniform Distribution
    • Company Property Tracking
  • Maintain office directories, contact lists, and administrative logs
  • Coordinate employee access and setup needs with vendors and IT support

Leadership Support

  • Support company leadership with scheduling, coordination, and administrative follow-up
  • Assist with internal communications and employee notices
  • Prepare documents, reports, forms, and templates as needed
  • Help develop and improve administrative systems and processes
  • Serve as a trusted resource for both field and office employees

Qualifications

Required

  • 3+ years of office management, HR administration, payroll administration, or related experience
  • Strong organizational and administrative skills
  • High level of professionalism and confidentiality
  • Excellent verbal and written communication skills
  • Ability to manage multiple priorities simultaneously
  • Strong Microsoft Office skills, including Excel, Outlook, and Word
  • Experience maintaining employee records and administrative systems

Preferred

  • Construction, roofing, restoration, or trade contractor experience
  • Payroll processing experience
  • HR administration experience
  • Bilingual (English/Spanish)
  • Experience supporting field personnel and multi-location operations
