Office Manager Controller information

What is an office manager controller?

Office Manager Controllers are professionals responsible for overseeing office operations while also managing financial activities, such as budgeting, bookkeeping, and financial reporting. They typically combine the duties of an office manager—like overseeing administrative staff and office logistics—with those of a financial controller, who ensures the accuracy of financial records and compliance with financial regulations. This hybrid role is common in small to mid-sized organizations where one person may be expected to handle both administrative and financial responsibilities. Strong organizational, communication, and analytical skills are essential for success in this position.

How does an office manager controller typically balance financial oversight with administrative responsibilities on a daily basis?

An Office Manager Controller often divides their time between managing office operations—such as supervising support staff, maintaining office supplies, and overseeing schedules—and handling financial tasks like budgeting, reporting, and ensuring compliance with accounting standards. This dual responsibility requires strong organizational skills and the ability to prioritize urgent administrative needs while maintaining accurate financial controls. Collaboration with department heads and regular communication with upper management are essential for aligning office management with financial strategies. As the role bridges both administrative and financial functions, adaptability and proactive problem-solving are key to succeeding in this position.

What are the key skills and qualifications needed to thrive as an office manager controller, and why are they important?

To thrive as an Office Manager Controller, you need strong organizational, financial management, and administrative skills, often supported by a degree in accounting, business administration, or a related field. Familiarity with accounting software (such as QuickBooks or SAP), payroll systems, and Microsoft Office Suite is typically required, and certifications like CPA can be advantageous. Excellent communication, attention to detail, and leadership abilities are vital for effectively managing teams and streamlining office operations. These skills ensure accurate financial oversight, efficient office workflows, and a productive work environment.

The Office Manager Controller focuses on financial oversight and administrative management, often requiring finance-related credentials. In contrast, the Office Administrator handles routine office tasks and general support without specialized certifications. Both roles are essential for smooth office functioning but differ mainly in scope and expertise.

Description:

About Us

Delta Sigma Phi Fraternity is a nonprofit organization dedicated to fostering leadership, friendship, and community involvement among college students. Our organization operates across multiple related entities, including a National Housing Corporation, a Title Holding Company, and the Delta Sigma Phi Foundation. We're committed to giving our members and alumni exceptional experiences and supporting a lifelong brotherhood — and we need a finance leader who can help us do it well.

The Opportunity

Why You'll Love This Role

• Unlimited PTO — we trust you to manage your time and your workload.

• Flexible hours and a hybrid schedule: just two days a week in our Indianapolis office.

• A real path to advancement: grow your scope into Foundation accounting and your title and pay grow with it — see Growth Path below.

• A collaborative, mission-driven culture supporting a nationally recognized fraternity and its philanthropic Foundation.

• Built-in leadership experience: you'll manage a direct report from day one, with the opportunity to grow a team.

About Delta Sigma Phi

The Accounting Manager is a key member of our Finance team, responsible for the integrity, efficiency, and accuracy of accounting operations across the Fraternity, Title Holding Company, and Housing Corporation, entities with combined annual revenue of roughly $5 million (approximately $4 million Fraternity, $1 million Housing). You'll own the month-end, quarter-end, and year-end close; approve payroll; oversee day-to-day accounting activities including accounts receivable/payable and housing-related finances; and lead process improvements that strengthen our internal controls.

You'll also directly supervise our Accounts Payable/Accounts Receivable Specialist, coaching and developing their skills, and will be a visible leader for accounting practices across all entities.

Growth Path: Accounting Manager to Controller

This role is built to grow. If you already bring Foundation or fund accounting experience, you can start at the Controller level, paid at the top of the range. If you're coming in without that background, you'll be hired as Accounting Manager and given the opportunity to learn Foundation accounting on the job: restricted funds, grant accounting, and planned giving. Once you've built that proficiency, your title updates to Controller and your compensation increases accordingly. As our organization evolves, this role also has room to take on oversight of accounting across all entities, including a potential Foundation accounting direct report.

And for the right candidate, the runway doesn't necessarily stop there continued growth in scope and performance could open the door to broader senior finance leadership within the organization over time.

Compensation & Benefits

• Salary: $90,000–$120,000 annually, based on experience (see Growth Path above).

• Medical and prescription coverage through Anthem, with a choice of two PPO plans.

• Voluntary dental and vision coverage.

• Company-paid Basic Life & AD&D and Short-Term/Long-Term Disability, plus voluntary Life & AD&D options.

• 401(k) retirement plan with a company match of up to 4%.

• Employee Assistance Program.

• Unlimited PTO and a flexible, hybrid schedule (2 days/week in office).

Key Responsibilities

Payroll

• Review and approve payroll for accuracy, proper coding, and compliance prior to processing.

Accounts Receivable & Accounts Payable

• Oversee fraternity accounts receivable and payable, ensuring timely and accurate processing of member dues, vendor payments, and other financial transactions.

• Directly supervise the AP/AR Specialist, reviewing work and supporting their development.

• Implement and manage a member-based billing model to streamline dues collection and improve accuracy.

Housing Corporation Accounting

• Manage all financial aspects related to the Housing Corporation, including budget tracking.

• Prepare and monitor financial statements, ensuring compliance with applicable accounting standards.

Month-End, Quarter-End, and Year-End Financial Reporting

• Oversee and perform month-end and quarter-end close processes, including balance sheet reviews and schedule tie-outs.

• Ensure timely and accurate bank reconciliations and preparation of business entity reports.

• Develop and maintain detailed file organization systems so documentation stays complete, accessible, and audit-ready.

• Prepare monthly, quarterly, and annual financial reports for the Fraternity and Housing Corporation, analyzing results for leadership.

• Serve as primary contact for audits, ensuring the organization is prepared and responsive to the audit team.

Internal Controls, Process Improvement, and Staff Development

• Ensure staff work is accurate by reviewing outputs, providing feedback, and implementing quality controls.

• Identify efficiency improvements across accounting processes and develop new standardized procedures.

• Train and mentor accounting staff, building high performance and cross-functional competency.

• Maintain internal controls and accounting policies in compliance with GAAP and state/federal regulations.

• Support audit preparation and provide documentation as needed for external auditors.

Budgeting and Forecasting

• Collaborate with leadership to develop annual budgets and projections for the Fraternity and Housing Corporation.

• Provide regular updates on budget performance, highlighting variances and proposing adjustments.

Requirements:

What You'll Need

• Bachelor's degree in Accounting, Finance, or a related field; CPA preferred.

• 5+ years of experience in accounting or financial management, ideally within a nonprofit or association.

• Familiarity with fund accounting principles and nonprofit-specific accounting software (e.g., QuickBooks, Blackbaud).

• Strong understanding of accounts receivable and accounts payable processes.

• Foundation or fund accounting experience is a significant plus — candidates with this background will be considered for the

Controller-level track described above.

• Experience in property or real estate accounting, preferably within a housing or membership organization, is a plus.

• Excellent analytical, communication, and problem-solving skills.

• Ability to manage multiple tasks and deadlines in a dynamic environment.

Preferred Qualities

• Ability to work collaboratively with staff across multiple departments and entities.

• Demonstrated commitment to nonprofit work and organizational mission.

• Experience implementing or transitioning billing systems is highly desirable.
