Advancement Office Associate: 12 month position

Reports to: Advancement Director

Position Summary

The Advancement Office Associate is responsible for the administrative needs and aspects of development, admissions, and communications activities. 

The Advancement Office Associate plays an important role by providing administrative support to the Development Office and participating in all fundraising activities including donor and public relations, direct mail appeals, and special events.

Principle Responsibilities

  • Answer Advancement Office phone, assist visitors, callers, and respond to email inquiries.
  • Process donations and prepare acknowledgement letters and other correspondence.
  • Maintain foundation, corporation and individual donor files.
  • Create monthly fundraising reports and other database reports as directed.
  • Continually update and correct Donor Perfect database records.
  • Coordinate productions and mailing of appeal letters, special event invitations, and publications.
  • Track EITC/OSTC tax credit donations in the database and keep a file for each EITC/OSTC tax credit donor. Send appropriate documentation to process credits to donors.
  • Maintain guest lists, gather and prepare registration materials and other duties as assigned for fundraising and admissions events.
  • Process admissions applications and assist with material development, organization, and distribution for all Admissions events. Assist Admissions Director with events.
  • Serve as the Executive Administrative Associate to the School Board, coordinating and handling all School Board correspondence with members.
  • Assist with photography as directed by Communications Director.
  • Produce documentation for the Annual Report.
  • Other duties as assigned by the Advancement Director.

Qualifications

  • Associate's or bachelor's degree in a related field preferred
  • A minimum of three years' experience in an administrative position, preferably in a not-for-profit and/or educational development office
  • Proficiency in Microsoft Word, Excel, and database management experience DonorPerfect preferred
  • Excellent interpersonal, verbal and written communications skills
  • Ability to present information concisely and effectively, both verbally and in writing
  • Ability to work independently with key internal and external constituencies
  • Strong organizational skills with an attention to details, ability to problem-solve, and manage and prioritize workflow
  • Demonstrated ability to adhere to confidentiality protocols and to handle matters with diplomacy and discretion Â
