Friendly Village seeks a dedicated and detail-oriented individual to join our team in a dual-role position as Receptionist / Medical Records Coordinator. This full-time position plays a key role in ensuring smooth front desk operations and the accurate maintenance of medical records in compliance with state and federal guidelines. The ideal candidate will be a team player with strong organizational skills, a professional demeanor, and a passion for providing exceptional service to residents, families, and staff.

Position: Receptionist / Medical Records Coordinator

  • Monday to Friday
  • 8:00 AM – 11:00 AM: Provide hands-on support across various departments, assisting care teams with daily operations to ensure residents receive timely, compassionate, and high-quality service.
  • 11:00 AM – 4:30 PM: Oversee front desk and medical records functions, warmly welcoming residents, families, and visitors while maintaining accurate, confidential, and well-organized documentation in compliance with healthcare standards.
  • $19/hour

Main Responsibilities

Receptionist Duties:

  • Provide exceptional customer service by greeting all visitors and guests in a friendly and professional manner.
  • Operate multi-line phone and paging systems, efficiently routing calls to the appropriate party.
  • Assist in scheduling staff to ensure resident needs and compliance with federal, state, and local regulations.
  • Maintain accurate monthly and daily staffing records, ensuring they are completed in a timely manner.
  • Secure shift coverage for open positions, vacation requests, call-offs, and vacancies.
  • Maintain resident trust fund accounts, ensuring accuracy and confidentiality.
  • Handle sensitive information regarding residents and facility matters with professionalism and discretion.
  • Assist with various administrative tasks, including document scanning, accounts payable (AP), and scheduling care conferences.
  • Perform various office duties such as assisting with mailings and relaying messages.

Medical Records Responsibilities:

  • Maintain medical records in accordance with state, federal, and facility policies.
  • Collect, organize, and file documents, correspondence, and printed materials.
  • Ensure the confidentiality and integrity of all resident medical information.
  • Support the Office Manager with Accounts Receivable (A/R), billing, and other resident account functions as needed.
  • Perform other administrative and clerical duties as assigned.

Qualifications:

  • High school diploma or equivalent required.
  • Previous experience in a healthcare or skilled nursing facility preferred.
  • Strong customer service, communication, and interpersonal skills.
