Job description

DESCRIPTION:

The Court Services Division within the Minnesota Judicial Center of the Minnesota Judicial Branch is accepting applications for a full-time Judicial Office Assistant. This position focuses on primarily supporting the Psychological Examiners unit and will provide general officeย and administrative support broadly within the Court Services division.

This position will primarily provide administrative support within the court service division units, including database support, customer service, virtual and in-person meeting support, asset coordination, and managing supply inventory. This position will also assist the court services division by providing backup support for other units and programs, and assisting with other projects as requested. The successful candidate must feel comfortable in a fast-paced, professional work environment, and strong customer service orientation is essential.ย 

EXAMPLES OF JOB DUTIES:

The following are examples of major job duties expected for this position to perform:

  • Maintain databases for various programs.ย 
  • Assisting internal and external customers with database support and troubleshooting.ย 
  • Managing the equipment asset coordination information, entries, and audits.ย 
  • Order office supplies.ย 
  • Plan and prepare for meetings (schedule rooms, order and deliver refreshments, arrange set up for A/V equipment, order parking permits, copy meeting materials, etc.)ย 
  • Assists staff in organizing data, information, documents, etc.ย 
  • Provide quality customer service through the screening of telephone calls and emails, answering general inquiries about the office, and referring calls and emails to appropriate staff.
  • Assists with scheduling and hosting Teams meetings, and providing backup support as needed.ย 
  • Receptionist duties including front reception desk back-up coverage 2-3 times a month and on an as-needed basis.
  • Assisting with other projects as assigned, including general assistance with project management.
  • Securing travel arrangements for staff as assigned.

TYPICAL QUALIFACTIONS:

Below are the past experiences that will enable success in the role. For education requirements listed, the equivalent number of years of related experience may serve as a substitute.

Minimum Qualifications:

  • Associate degree from an accredited college or university in business, administrative support, or a related field. May substitute a high school degree, or equivalent, and additional experience, in lieu an associate's degree.
  • 3-5 years of office/clerical experience.

Preferred Qualifications

  • Experience coordinating large meetings both in-person and virtually.
  • Familiarity with Psychological Examination terminology and court processes related to psychological evaluations.ย 

Knowledge, Skills, and Abilities:

  • Proficient in Microsoft Office applications, Teams technology, and SharePoint.ย 
  • Demonstrated ability to develop effective working relationships throughout the organization and with external stakeholders.ย 
  • Strong attention to detail.ย 
  • Demonstrated ability to communicate effectively both orally and in writing.
  • Ability to multi-task andย manage multiple priorities and projects under deadlines.ย 
  • Ability to learn new skills and willingness to take on new projects as required.ย 
  • Ability to take work direction from multiple stakeholders.
  • May require periods of extended sitting, standing, and walking.ย 
  • Ability to lift items up to 25 pounds.

SALARY:

The expected starting salary range for external candidates is $25.27-$31.62 per hour ($52,764-$66,023 annually). The full salary range for this position is $25.27-$37.96 per hour ($52,764 -$79,260 annually).ย This position is non-exempt under the Fair Labor Standards Act and is eligible for State of MN employee benefits.

SUPPLEMENTAL INFORMATION:

Position Logistics:

This full-time position is classified as an Office Assistant III. The position will typically work normal business hours Monday through Friday, with occasional hours outside normal business required. This work will be conducted in a hybrid environment with a minimum of 8-10 days per month in person at the Minnesota Judicial Center in St. Paul, Minnesota.ย
