Position Overview
This position is responsible for maintaining utilization of organization capacity by overseeing the team(s) that admit clients to treatment and ensure that the care is funded. It is both customer-centric and process driven. It involves assuring fidelity to internal admissions amp; funding process, and assignment of intake paperwork and assessments as well as alignment of client funding sources at the time of client admission. The Admissions Director monitors all pending funding and is responsible for ensuring follow up of same. This may include doing benefits verifications with insurance companies and the counties. The Admissions Director interfaces with referral sources, funding sources, staff and clients. The Admissions Director must be able to maintain client confidentiality in accordance with state and federal guidelines and HIPAA requirements.
Responsibilities
  • Management of Central Access, navigators and funding, including interviewing, hiring, performance management, annual reviews, staff development/training, mandatory training
  • Coordinate admissions with referents and staff
  • Coordinate and communicate with Head of Clinical on a regular basis
  • Maintain appropriate communication with management for any concerns regarding the admissions process
  • Oversee daily admissions operations, including timely referral screenings, scheduling, and census management
  • Facilitate the daily admissions planning meeting to ensure maximum utilization of treatment resources
  • Primary analysis of daily/weekly/monthly admission statistics which may include compilation, summarization and providing recommendations to other managers
  • Maintain consistent communication with clinical staff and Treatment Directors to ensure that clients are continuously funded throughout their stay, i.e. that extensions and coverage flips are completed in a timely manner and in accordance with the standards of the payer
  • Maintain an ongoing, continuously updated, inquiry list, admissions list, client list, cataloging past and present, and potential admissions activity
  • Coordinate, complete or assign as appropriate initial intake with new clients
  • Monitor funding calendar, communicate daily with follow-up and confirms same
  • Work with the Billing/Revenue Cycle teams to troubleshoot issues as they arise
  • Assessment and planning of workforce shift due to law changes
  • Approve time off for staff; coordinates staff coverage
  • Promote positive action between CAT and other teams
  • Attain, maintain and promote a positive, safe, harmonious, productive and challenging work environment
  • Safeguard personally identifiable health information (PHI) in accordance with duties and current agency HIPAA notification statement and standards
  • Using Electronic Health Records, work within the referral and client module to ensure that referrals are accepted into the electronic medical record as clients
  • Using Electronic Health Records, maintain accurate client records as they relate to authorizations, service agreements, self-pay transactions, and other billing scenarios as they arise
  • Liaison with other service providers
  • Participate in staff meetings and training as required or directed
  • Assessment and planning of 245g staffing and budgets
  • Serve on team planning expansion of continuum ASAM 3.7, 1.0
  • Manage conference schedules and tours
  • Organizing the Introduction and transport of clients to program site as needed
  • Some responsibilities may expand beyond normal core business hours, including the weekend
  • Provide culturally sensitive engagement to diverse clients and their families
  • This role will be responsible for being the primary employee to answer the front door at NUWAY Administration building on a rotating basis. This rotating basis should occur once per week but may change based off business needs and schedule.
  • This role will be responsible for answering calls on the main NUWAY number and triaging them to the appropriate departments.

Qualifications, Skills, Knowledge and Experience
Required:
  • Minimum of AA degree in related field
  • Age 18 or older
  • Demonstrated working knowledge in the field of substance use disorder and/or mental health, in an addiction treatment facility
  • High degree of computer literacy including experience using an electronic health records (EHR) system
  • Excellent written, communication, customer service, and case management skills
  • Able to pass Minnesota DHS background study
  • Possess maturity, patience, understanding and empathy with recovering individuals and work with a multidisciplinary team
  • Ability to relate to people from diverse backgrounds
  • Physical Demands: Sitting for extended periods of time. Daily use of general office equipment. Lifting (max 10 pounds), minimal reaching, bending and stooping. Ability to effectively navigate program or office environment such as ascending and descending steps, passing through doorways and entrances, and accessing program/office facilities.
  • 2 years of related experience
  • Proficiently understand, follow instructions, and communicate effectively in English. Able to effectively document services in writing formatted in English.
