Schedule: Every other Monday and every other weekend (Saturday/Sunday) 7:30am-4:30pm and as needed for coverage

THE ORGANIZATION

Ashley Addiction Treatment Center was founded in 1983 by two visionaries who knew the treatment of drug or alcohol addiction could be designed and effectively delivered in a holistic manner that compassionately considers the whole person and not just the disease. POSITION SUMMARY

The Receptionist receives incoming callers both within and outside of the agency and directs calls to the correct recipient. The Receptionist is located at the Welcome Center and as a result, they operate as an “Information Center” to anyone who comes to our Havre de Grace campus. The Receptionist acts as a resource guide for patients and provides excellent customer service and care, while continuing to perform administrative tasks. The Receptionist is also responsible for making overhead announcements related to the patient scheduled and other important information that needs to be disseminated.

KEY RESPONSIBILITIES

  • Receives and routes calls incoming calls to the appropriate staff.
  • Demonstrates competency in adhering to HIPAA regulations while operating the phone system
  • Collaborates with the Clinical Management Team to ensure Group Counseling documents are accurate
  • Maintains and distributes patient schedule and Group Counseling documents to direct patient care staff
  • Collaborates with direct patient care staff to ensure patients are located for scheduled appointments
  • Greets visitors/guests and families in a friendly, professional manner; contacts person(s) receiving visitors.
  • Effectively utilize paging system for community announcements including patient schedule, weather reporting, color coded emergencies, and other needs as assigned
  • Collaborates with the Finance department to ensure that staff and patient mail/packages is routed to the correct locations
  • Collaborates frequently with CA staff to meet patient and program needs
  • Assists the Weekend Program Manager with distribution of weekend documents and other needs as assigned
  • Responds to patients' and visitors' questions and provide appropriate answers or directions in accordance with Ashley Policies and Procedures
  • Follows appropriate emergency procedures during fire/disaster drills

DESIRED KNOWLEDGE/SKILLS/ABILITIES:

  • Minimum of High School Diploma or G.E.D.
  • Experience using a multi-line phone system and type with high level of accuracy preferred
  • Administrative experience in a Healthcare environment is preferred.
  • Knowledge of and adherence to HIPAA and privacy regulations for health care environments
  • Must have the ability to rapidly and comfortably disseminate information to patients and visitors
  • Must be intermediate or advanced level in Microsoft Office (Word, PowerPoint, Outlook, and Excel).
  • Must have excellent written, verbal, grammatical skills, and mathematical skills.
