ABOUT THE OPPORTUNITY:

  • A growing energy distribution and logistics organization is seeking a detail-oriented and proactive Night Shift Logistics Coordinator to support fuel and lubricant delivery operations. This role is responsible for managing routing logistics, monitoring inventory levels, coordinating with terminal managers and drivers, and ensuring timely and efficient product deliveries

POSITION SUMMARY:

  • The Night Shift Logistics Coordinator plays a critical role in ensuring efficient and timely delivery operations. This position is responsible for managing fuel and lubricant routing logistics, monitoring tank levels, and coordinating with terminal managers and drivers to ensure seamless operations. Responsibilities include reporting, performance tracking, documentation management, contract compliance, and operational support


KEY RESPONSIBILITIES:
Logistics & Scheduling Operations

  • Monitor scheduling databases to ensure accurate forecasting of deliveries
  • Utilize pricing tools to select optimal pricing in accordance with rack pricing and contractual agreements
  • Oversee delivery schedules to ensure timely execution and maintenance of appropriate inventory levels
  • Manage delivery operations to ensure compliance with customer requirements and contractual obligations
  • Adjust delivery routes in real time based on demand fluctuations, traffic conditions, weather events, or emergencies
  • Monitor contract volumes and supply allocations to ensure adequate product availability
  • Serve as a point of contact for scheduling questions and operational issues
  • Schedule product movements through proprietary and third-party logistics systems
  • Respond to unexpected operational disruptions and implement contingency plans
  • Ensure accurate documentation and recordkeeping
  • Create, update, and maintain geofences within scheduling platforms to support accurate tank monitoring and tracking

Reporting & Administrative Support

  • Prepare management reports, departmental presentations, and performance scorecards
  • Analyze sourcing practices and contract fulfillment performance
  • Document delivery incidents and prepare communication materials for key stakeholders
  • Assist in developing and implementing enhanced reporting and documentation processes
  • Provide administrative support across departments, including document processing, supply management, and customer/vendor setup
  • Process delivery paperwork while ensuring accuracy and completeness

Operations & Issue Resolution

  • Respond to supply disruptions and terminal issues by providing loading instructions to carriers and drivers
  • Collaborate with drivers, carriers, terminals, and internal teams to resolve delivery challenges
  • Investigate loading and transportation issues and support root-cause analysis efforts
  • Assist accounting teams with investigations related to fuel delivery inquiries
  • Provide accurate inventory position updates to product schedulers

Customer Service & Order Management

  • Process customer fuel delivery orders
  • Coordinate requests for tank testing and site maintenance
  • Provide support to internal and external customers
  • Communicate delivery status updates and estimated delivery times
  • Notify carriers of planned terminal or site outages
  • Investigate and resolve customer delivery concerns

Continuous Improvement & Communication

  • Identify and communicate operational and commercial improvement opportunities
  • Focus on improving transportation efficiency while minimizing delivery costs
  • Work with customers and product schedulers to maintain accurate volume forecasts
  • Communicate planned product movements and operational status with internal teams, transportation partners, terminal personnel, and leadership
  • Build and maintain strong industry relationships related to supply, transportation, and logistics


QUALIFICATIONS:
Education & Experience:

  • High School Diploma or equivalent required
  • Bachelor's Degree preferred
  • Minimum of 2 years of experience in logistics, dispatching, transportation coordination, or routing
  • Strong communication, analytical, and problem-solving abilities
  • Ability to manage multiple priorities in a dynamic environment
  • Strong organizational and administrative skills
  • Excellent written and verbal communication skills
  • Exceptional attention to detail
  • Bilingual English/Spanish is a plus

Preferred Skills

  • Experience with tank monitoring systems and telemetry data
  • Familiarity with routing software and GPS tracking tools
