Job description

Position Summary

The Warehouse Receiving Coordinator is responsible for overseeing all inbound shipments, ensuring accurate documentation, and maintaining inventory integrity through consistent use of the companys ERP system. This role supports production and distribution e operations by coordinating receiving activities, communicating with vendors and internal departments, and ensuring timely and accurate processing of materials.

Primary Responsibilities and Essential Functions:

  • Receive & Documentation - Receive inbound shipments, verify quantities against purchase orders, inspect for damage/shortages, and process accurate, timely ERP receiving transactions, logs, and discrepancy reports.
  • ERP & Inventory Management Post receipts, reconcile discrepancies, support cycle counts and inventory adjustments, and troubleshoot ERP receiving errors.
  • Communication & Coordination Flag shortages, overages, and damage to purchasing, suppliers, and warehouse leadership; coordinate carrier unloading schedules; resolve order discrepancies with purchasing and planning.
  • Warehouse & Manufacturing Support Label, stage, and move materials to correct locations; support just-in-time material flow; maintain safety and 5S standards; identify workflow improvements.
  • Support inventory control activities, cycle counts, continuous improvement initiatives, and compliance with safety standards and warehouse procedures.

Key Performance Indicators:

  • Receiving accuracy rate - transactions entered accurately and within established timeframes.
  • Inventory accuracy and reduction of receiving-related discrepancies.
  • Timely resolution of damaged, missing, or incorrect shipments.
  • ERP data accuracy and compliance with receiving procedures.
  • On-time material availability for production and warehouse operations.
  • Compliance with safety requirements and organizational standards.

Education/Experience

Required:

  • High School Diploma or equivalent.
  • Minimum of two (2) years of experience using an ERP system.
  • Two (2) to four (4) years of warehouse, inventory, receiving, or materials handling experience
  • Proficiency with Microsoft Office applications including Excel, Outlook, and Word.
  • Strong organizational, communication, and problem-solving skills.
  • Forklift certification or experience operating warehouse equipment.

Preferred:

  • Experience with inventory cycle counting and inventory control practices.
  • Experience in a manufacturing or distribution environment.
