Job description

Student Project Coordinator

The ASU Outreach Hub is dedicated to connecting more constituents in impactful ways using data-derived insights, integrated and collaborative approaches and advanced outreach techniques in support of the ASU Public Enterprise.

The Marketing Solutions team at the ASU Outreach Hub is looking for a methodical, organized and highly motivated Student Project Coordinator to assist with the day-to-day tasks that make our team run. You will support the team in managing the on-time and on-budget delivery of department projects, reporting directly to the Assistant Project Manager.

The position will require approximately 20 hours per week, with additional availability during the non-school year.

What you'll do:

  • Enters and maintains project timelines in project management system (we use Wrike) as directed by the Assistant Project Manager

  • Creates and maintains job folders on the server (or OneDrive)

  • Assists in the routing and approval of materials

  • Attends and takes notes at project start meetings when necessary

  • Updates job status in Wrike and ensures that all final files have been uploaded

  • Assists in handling invoicing for internal colleagues and follows up as necessary

  • Develops and assists with documentation of processes

  • Manages closeout process of all projects

  • Collects, categorizes, and tracks projects through reporting or other processes

  • Delivers all print projects to designated colleagues

  • Other duties as assigned

  • Methodical approach to prioritization and organization and ability to develop, track and manage projects

  • Highly organized and able to work efficiently on multiple projects with tight deadlines

  • Knowledge of departmental workflow process

  • Collaborative style, combined with the ability and desire to work in a team-based environment

  • Strong and collegial interpersonal skills and an ability to communicate effectively in person, writing, and by phone

  • Ability to work both independently and as part of a team

  • Attention to detail and thoroughness in completing assigned duties

  • Ability to quickly learn new software programs as needed

Relevant qualifications:

  • A current student at Arizona State University pursuing a degree in a related field with a willingness to learn and ability to work well with others. Student must be willing to sign and abide by a confidentiality agreement
