Operations Field Specialist


Reports to: Facility Manager

Classification: Non-Exempt


SUMMARY

The Field Ops Specialist is responsible for coordinating daily transportation operations to ensure customers receive prompt, safe, and efficient service. This position serves as the primary communication link between drivers, customers, sales, customer service, and operations while managing route optimization, scheduling, dispatching, regulatory compliance, and administrative functions. The Field Ops Specialist monitors daily route performance, resolves service issues, maintains accurate documentation, and supports operational excellence by ensuring all routes are completed efficiently and in compliance with company policies and Department of Transportation (DOT) regulations.

PRIMARY JOB DUTIES/RESPONSIBILITIES

Dispatching & Route Management

• Dispatch daily work orders to drivers using Navusoft, GPS systems, telephone, and other communication tools.

• Schedule, reschedule, and coordinate daily customer service stops based on operational needs.

• Route new customers and optimize existing routes to maximize efficiency and productivity.

• Monitor route progress throughout the day and ensure all assigned routes are completed.

• Coordinate roll-off container, compactor, and hospital RBX service schedules.

• Receive and schedule customer requests for open-top containers and other specialty services.

• Maintain and update route sheets, driver schedules, and dispatch records.

Driver Support & Communication

• Maintain constant communication with drivers to ensure successful completion of scheduled stops.

• Provide drivers with customer updates, revised directions, geocode corrections, service notes, and operational assistance.

• Monitor driver locations through GPS and provide route adjustments as necessary.

• Serve as the primary point of contact for drivers experiencing operational issues.

• Ensure drivers complete required paperwork during daily check-in in accordance with DOT regulations and company policies.

• Serve as backup support for designated administrative and operational personnel when required.

Customer Service

• Receive and respond professionally to incoming calls from customers, Customer Service, Sales, and Operations.

• Notify customers regarding scheduled services, route changes, missed stops, holiday schedule adjustments, and service delays.

• Resolve customer concerns involving pickups, deliveries, scheduling conflicts, and missed services.

• Work collaboratively with customers, drivers, sales representatives, program managers, and internal departments to ensure customer satisfaction.

• Complete customer service requests and operational tasks assigned by Customer Service, Corporate, and field personnel.

Documentation & Administrative Support

• Post and verify completion of all scheduled stops, including SQG, LQG, Roll-Off, and other service lines.

• Review, correct, and submit manifests, discrepancies, and other transportation documentation.

• Organize, print, distribute, and file driver paperwork, including manifests, debrief forms, review forms, and container order forms.

• Enter landfill weight tickets into tracking spreadsheets and verify landfill invoices.

• Submit discrepancy reports for solid waste and recycling services.

• Maintain organized records of completed routes, vehicle schedules, customer information, and dispatch documentation.

• Enter operational notes into Navusoft to improve route efficiency and assist drivers.

Compliance, Safety & Operational Support

• Perform all duties safely and in compliance with company policies and all applicable local, state, and federal regulations.

• Monitor driver hours in accordance with DOT Hours of Service regulations.

• Assist management in maintaining quality, safety, productivity, and compliance standards.

• Support employee training initiatives, (e.g. heat stress awareness, PPE, safe lifting techniques, and other safety programs).

• Maintain positive working relationships with customers, drivers, management, and coworkers.

• Perform other duties as assigned.

QUALIFICATIONS & SKILLS

• High School Diploma or GED required; some college preferred.

• Minimum of 2–3 years of dispatching, routing, logistics, transportation, or customer service experience preferred.

• Waste industry experience preferred.

• Strong knowledge of route planning, dispatching, and transportation operations.

• Ability to read maps and utilize GPS and routing software.

• Proficiency with Microsoft Office, Windows applications, NavuSoft, and other dispatch software.

• Excellent verbal, written, and telephone communication skills.

• Strong organizational and multitasking abilities in a fast-paced environment.

• Ability to prioritize workload and manage multiple assignments simultaneously.

• Excellent problem-solving and analytical skills.

• Strong customer service skills with a professional demeanor.

• Ability to work independently while collaborating effectively with multiple departments.

• Bilingual (English/Spanish) preferred.


EXPECTED HOURS OF WORK

• Regular full-time schedule as assigned

• Must be available to work overtime, some weekends, holidays, and additional hours as operational needs require.


TRAVEL-OTHER

• Travel to domestic Trilogy facilities when necessary (less than 10%)

• Must have a current, valid driver's license

• Able to be insurable under our company's liability insurance policy
