This is a demanding, high-volume role. On any givendayyou'remanaging a fast-moving queue of inbound service requests, coordinating vendors across multiple active work orders, resolving urgent issues in real time, and proactively inspecting your portfolio for conditions that need attention.You'lloperatewithin Amana, our proprietary CMMS platform, and are expected toleverageit to its fullest - using it and available AI tools to maximize efficiency, surface issues early, andmaintaincomplete visibility across every property you manage. The role includes on-call availability during nights and weekends and periodic travel to sites, including overnights.

Property Operations

  • Proactively inspect and assess your portfolio -identifyissues beforethey'rereported and drive resolution before conditions deteriorate.
  • Maintain assigned properties at a consistently high standard - safe, clean, functional, and well-presented for customers, associates, and tenants at all times.
  • Manage a high volume of inbound service requests end-to-end: intake, vendor assignment, completion confirmation, invoicereview,codingandapproval.
  • Triage urgent issues quickly and with sound judgment.
  • Developand assesssolutionsfor issues,repairsand opportunities.Critical thinking andapplicationof technical knowledge is essential.
  • Spot recurring problems and address root causes.

Vendor Management

  • Manage a portfolio of service vendors: dispatch, scope review, site follow-up, and performance accountability.
  • Review proposals critically - push back on pricing whenwarrantedandbenchmarkagainst market rates.
  • Build strong vendor relationships while holding clear standards for responsiveness and quality.

Financial Accountability

  • Own GL coding and invoice approval for your portfolio - accountable for spend accuracy, not just work completion.
  • Track budget vs. actualspendby property; flag variances before they become problems.
  • Bring financial awareness to every decision - treat every dollar likeit'syour own.

Stakeholder & Cross-Functional Partnership

  • Serve as the primary point of contact for store leadership - responsive, clear, andsolutions-oriented.
  • Coordinate with landlords on lease obligations and tenant matters when applicable.
  • Partner with construction, leasing, and finance teams on larger initiatives asappropriate.

WhatWe'reLooking For

Required:

  • 5-7 years of experience in property management, facilities management, construction coordination, or related field.
  • Demonstrated ability to manage high volumes of concurrent work across a multi-site portfolio without dropping the ball.
  • Monthlytravelto sites across the Northeast, including periodic overnights
  • Strong financial literacy - comfortable owning budgets, coding invoices, and trackingspend.
  • High personal accountability - youdon'twait to beasked,youdon'tlet things age, and you hold vendors to the same standard.
  • Occasional availability for on-call response duringselectevenings and weekends.
  • Clear, direct communicator - written and verbal.
  • Proficiencyin Microsoft Excel, Outlook, and CMMS or work order platforms.

Preferred:

  • Multi-site retail, commercial, or mixed-use portfolio experience.
  • Familiarity with vendor contract management, purchase order workflows, and invoice processing.
  • Experience working alongside construction or capital improvement projects.
