Job description

Overview of the Position

As a part of Students for Life of America is looking to hire a National Events Coordinator who will coordinate the development, planning, promotion, and execution of events that support and expand the goals of the Pro-Life Generation. 

This role requires a unique combination of event management expertise, logistical excellence, creative thinking, and strong communication skills. The ideal candidate is highly organized and capable of managing complex event logistics while also contributing innovative ideas that increase attendance, engagement, and event impact. They should be an excellent writer who can develop promotional plans, coordinate event communications, and collaborate across departments to ensure successful event execution. 

The National Events Coordinator will oversee national events, sponsorship opportunities, rapid response activations, and organizational initiatives while serving as a key contributor to attendee experience, event promotion, strategic partnerships, and operational excellence. 

Responsibilities

National Pro-Life Summit (January) 

  • Manage relationships with external vendors and provide ongoing support throughout the planning process. 

  • Oversee attendee registration, communications, and customer service. 

  • Develop and execute event communication plans in collaboration with the Reputation Team. 

  • Coordinate promotional timelines and attendee communications leading up to the event. 

  • Manage staff logistics, including schedules, assignments, and on-site needs. 

  • Lead on-site execution, including logistics implementation, troubleshooting, and day-of problem solving. 

  • Develop creative attendee engagement opportunities and event experiences. 

National Leaders Collective (June) 

  • Serve as the primary liaison with the host hotel. 

  • Prepare and maintain detailed rooming lists for all attendees and staff. 

  • Coordinate food and beverage orders, menus, and service schedules. 

  • Oversee breakout room assignments, audiovisual needs, and room setup. 

  • Coordinate speaker travel planning, accommodations, and on-site logistics. 

  • Manage staff logistics before and during the event. 

  • Assist in developing communications and promotional materials that support event participation and engagement. 

Event Promotion & Engagement 

  • Develop event promotion plans and communication timelines for major national events. 

  • Write and edit attendee communications, promotional emails, registration messaging, event web copy, and related materials. 

  • Collaborate with the Reputation Team to support event marketing initiatives that increase attendance and engagement. 

  • Generate new ideas for attendee experiences, sponsorship activations, event branding, and participant engagement. 

  • Monitor registration trends and recommend promotional opportunities to increase participation. 

  • Assist in developing post-event reports that evaluate attendance, engagement, and event success. 

  • Ensure event messaging is clear, compelling, and aligned with the Pro-Life Generation brand. 

Activism Events 

  • Collaborate with all internal teams to plan and execute national rapid response events in Washington, D.C., and across the country. 

  • Assist with planning and logistics for regional activism events involving multiple Regional Coordinators or multi-location formats. 

  • Develop communication plans and attendee resources to support successful event participation. 

Sponsored Events 

  • Research and identify potential events for SFLA to sponsor. 

  • Track sponsorship opportunities and sponsorship deliverables. 

  • Coordinate all sponsorship logistics to ensure a successful presence and engagement. 

  • Develop creative strategies to maximize sponsor visibility and organizational impact at external events. 

Legislative & Electoral Mobilization Support 

  • Assist SFLAction in planning and executing door-knocking deployments, grassroots mobilizations, and related field efforts. 

  • Coordinate housing, transportation, and food and beverage logistics for SFLAction initiatives. 

  • Submit expenses promptly to the compliance team for reporting and reconciliation. 

Fundraising & Development Events 

  • Support the Development Team with national and regional fundraising events. 

  • Assist with special event planning and execution as assigned. 

  • Support major events such as National Celebrate Life Day and other organization-wide initiatives as needed. 

Strategic Partnerships 

  • Build and maintain relationships with organizations such as Ethics & Religious Liberty Commission (ERLC), Family Research Council (FRC), National Catholic Youth Conference (NCYC), Church of God in Christ, and other mission-aligned organizations. 

  • Develop partnership opportunities that support event growth, attendee engagement, content collaboration, sponsorship visibility, and organizational objectives. 

  • Coordinate partnership deliverables including guest hosting, co-branded content, Event in a Box promotions, campus events, sponsorship exchanges, and related initiatives.

Position Details

Position Type

  • This is a full-time salaried position working at least 40 hours per week. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m.

  • Alternative hours during major event seasons, including weekends and evenings. 

Physical Demands

  • Must have the ability to operate technical equipment such as a computerand sit for extended periods of time.  

  • Must be able to withstand long periods of driving.   

  • Other physical demands may include: setting up displays, walking around campuses, standing during display times, walking outside for long periods of time (door to door canvassing) and participating in local and national pro-life marches. Must be able to lift 30 pounds.

Travel to all SFLA events, including but not limited to:

Work Authorization 

Must be able to successfully complete an I-9. The I-9is used for verifying the identity and employment authorization of individuals hired for employment in the United States. 

Qualifications

  • Bachelor's degree in Communications, Marketing, Event Management, Public Relations, Business, or a related field preferred. 
  • 3-5+ years of experience in event coordination, communications, project management, marketing, or a related field. 
  • Exceptional writing, editing, and proofreading skills. 
  • Strong understanding of event promotion, attendee engagement, and communication strategy. 
  • Experience developing project plans and coordinating multiple initiatives simultaneously. 
  • Excellent organizational and time management skills with exceptional attention to detail. 
  • Ability to manage complex logistics while maintaining a strategic mindset. 
  • Strong communication and interpersonal skills. 
  • Proficiency in Microsoft Office programs, including Word, Excel, Outlook, and PowerPoint. 
  • Experience coordinating cross-functional projects with multiple stakeholders. 
  • Ability to adapt quickly, solve problems independently, and thrive in a fast-paced environment. 
  • Candidates must have knowledge of grammar rules and consistently utilize the Oxford comma.
