Job description

North American Shipping Agencies, Inc. (NASA) is currently seeking to fill a position for a Vessel Coordinator, in our Houston, TX office.

General Info 

Job Title: Vessel Coordinator
Job Type: Full-Time 
Minimum Years of Experience Required: Minimum three (3) years’ experience in vessel coordinating or vessel terminal operations in a maritime shipping business

Minimum Years of Education Required: High School Diploma. Education and experience minimums can be substituted with any equivalent combination of training and experience.

Must be Authorized to Work in the US

Principal Responsibilities

• Alignment with NASA’s core values, mission statement, and vision

• Great communicator and team member 

• Must be an organized thinker with strong administrative and 1-year experience using windows operating environments and 365 Microsoft Office

• Ensure compliance with NASA’s processes, standards & procedures, including correct use of the operating systems.

• The individual is required to coordinate all operations for his/her vessel(s) and ensure quality service is delivered 24/7/365 inclusive of weekends and holidays

• Forward pertinent information regarding pre-arrival/port/post departure emails to required parties

• Assures all appropriate customs documentation is submitted for all port entries/clearances to prevent any vessel delays

• Assists in planning all labor (third parties and vendors), cargo, and vessel schedule commitments so that all operations are carried out in a timely/ economic manner

• Coordinates aspects of crew management (D1 filing), pilots, launches, shore deliveries, bunkering, marpol, and fresh water including pre- and post-activities

• Submits gate list to terminal(s) to ensure vessel entry of all required parties while in port

• Consistently (monthly) updates terminal requirements in NASA’s database to inform ship captains so they can stay abreast

• Maritime/Port agency experience and Maritime Disbursement Accounting Experience

• Performs all other related duties as requested

Qualifications/Skills

• Valid Local Driver’s License (with clean driving record), Social Security Card (or Green Card), TWIC

• Manual dexterity to perform repetitive motion tasks on the computer.

• Ability to board vessels via ladders, steep inclines, as well as walk long distances on uneven surfaces in all types of weather

• Ability to effectively communicate, both orally and in writing with persons of all cultures

• Skills in operation of standard office equipment such as but not limited to computer (desktop/laptop), SQL database, smartphone, IP phone system

• Skills in reading comprehension and basic mathematics

• Skills in interpersonal relationships, customer service, and supporting recommendations

• Ability to perform multiple tasks and work under extreme deadline pressure

• Ability to use good judgment in analyzing and resolving problems

• Ability to work in a close team atmosphere, yet independently get job tasks accomplished  

• Ability to monitor assignments to completion

• Ability to bend or stoop to retrieve lower shelf files. Ability to reach overhead to retrieve upper shelf files.

• Able to lift and move around a package up to 50 pounds, when necessary

• Ability to travel in various modes of transportation (e.g., automobile, launch/crew boat, airplane, etc.) Occasionally exposed to outside elements during traveling.
