Property Manager - Multi-Location Residential Portfolio

We are looking for an experienced, hands-on Property Manager to oversee a portfolio of privately owned residential properties, including houses, villas, vacation homes, and short-term rental/Airbnb-type properties across multiple locations.

The ideal candidate should be based in, or able to work extensively across, New York, Florida/Tampa, and Puerto Rico, and must be flexible to travel frequently between properties as required.

Key Responsibilities

  • Manage the day-to-day operations and upkeep of multiple residential properties across different locations.

  • Oversee houses, villas, vacation properties, and short-term rental/BnB properties owned by management.

  • Coordinate housekeeping, landscaping, maintenance, repairs, pest control, pool services, utilities, security, and other property services.

  • Identify maintenance issues proactively and ensure repairs are completed promptly and to a high standard.

  • Manage and supervise local vendors, contractors, housekeepers, handymen, and other service providers.

  • Obtain quotations, negotiate vendor pricing, approve work within agreed guidelines, and track expenses.

  • Conduct regular property inspections and maintain detailed checklists for each location.

  • Ensure properties are fully prepared before the owner's, management's, family members', or guests' arrival.

  • Coordinate arrivals, departures, cleaning schedules, linen management, supplies, groceries, and other property-specific requirements when needed.

  • Manage short-term rental operations where applicable, including guest readiness, cleaning turnovers, maintenance coordination, and issue resolution.

  • Maintain inventories of furniture, appliances, equipment, keys, access cards, household supplies, and other property assets.

  • Track utility bills, maintenance contracts, insurance-related property documentation, permits, and recurring services.

  • Respond quickly to emergencies such as plumbing, electrical, HVAC, security, storm, or property damage issues.

  • Provide management with regular updates on property condition, upcoming maintenance, expenditures, and significant issues.

  • Develop reliable local vendor networks in each geography rather than depending on a single centralized team.

  • Maintain a high degree of confidentiality and discretion when dealing with management-owned properties and personal matters.
