Portfolio Manager

 

Position Summary

 

Real Property Management is seeking a dynamic, detail-oriented, and experienced Portfolio Manager to oversee the day-to-day operations of a portfolio of residential rental properties in our Layton office.

The Portfolio Manager is responsible for the overall management and performance of an assigned portfolio of residential properties. This position serves as the primary point of contact for property owners and tenants, ensuring exceptional customer service, property compliance, financial performance, and efficient coordination of maintenance and leasing activities. The Portfolio Manager works closely with the Director of Property Operations, Maintenance Department, Accounting Team, and Business Development Team to maximize owner satisfaction and property profitability.

Essential Duties and Responsibilities

Owner Relations

  • Build and maintain strong relationships with property owners.
  • Serve as the primary contact for owner questions and concerns.
  • Provide guidance on property performance, maintenance recommendations, and market conditions.
  • Conduct owner meetings as needed.
  • Ensure a high level of owner satisfaction and retention.

Property Management

  • Manage an assigned portfolio of residential rental properties.
  • Ensure properties comply with company standards, lease agreements, and applicable laws.
  • Coordinate property inspections and follow up on identified issues.
  • Monitor lease renewals, expirations, and occupancy levels.
  • Oversee move-ins and move-outs.

Tenant Relations

  • Respond promptly and professionally to tenant inquiries.
  • Resolve tenant concerns while enforcing lease terms and company policies.
  • Coordinate lease violations and necessary corrective actions.
  • Promote positive tenant relationships to improve retention.

Maintenance Coordination

  • Review and approve maintenance requests.
  • Coordinate repairs with approved vendors and the maintenance department.
  • Obtain owner authorization when required.
  • Monitor work order completion and vendor performance.
  • Ensure maintenance issues are resolved in a timely manner.

Financial Management

  • Monitor property budgets and expenses.
  • Review invoices and approve charges according to company policies.
  • Recommend rent increases based on market conditions.
  • Review delinquency reports and assist with collections when necessary.
  • Work with accounting to ensure accurate owner statements.

Communication

  • Maintain regular communication with owners, tenants, vendors, and internal departments.
  • Document all communications in the property management software.
  • Provide timely updates regarding maintenance, vacancies, and property concerns.

Compliance

  • Maintain knowledge of federal, state, and local landlord-tenant laws.
  • Ensure compliance with Fair Housing regulations and company policies.
  • Maintain accurate and complete property records.

Qualifications

  • Minimum of five (5) years of residential property management experience required.
  • Excellent customer service and communication skills.
  • Strong organizational and time management abilities.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Professional conflict resolution and problem-solving skills.
  • Working knowledge of residential property management practices.
  • Valid driver's license with reliable transportation.

Compensation, Work Hours, and Benefits:

The Portfolio Manager position offers an annual compensation package ranging from $58,000 to $62,000, including bonus opportunities.

This is a full-time opportunity at 40 hours per week (Monday – Friday from 8:30 a.m. to 5:00 p.m.).

Occasional evening or weekend availability may be required to address urgent property issues.

We offer a competitive compensation and benefit package (medical, dental, vision, LTD, STD, Life Insurance).

Generous Paid Time Off (PTO) accrual program based on tenure of employment.

We offer 10 paid holidays yearly to full time employees.
