Masis Staffing - Sales Admin. Coordinator


Position Summary

Masis Staffing is seeking a highly organized, energetic, and results-driven Sales Coordinator to support our Enterprise and National Sales teams. The Sales Coordinator will play a key role in helping generate new business, maintain strong client relationships, coordinate sales activities, and ensure opportunities move efficiently from prospecting through implementation. This position is ideal for someone who enjoys a fast-paced environment, has strong communication skills, is highly organized, and wants to build a career in staffing sales and business development.


Key Responsibilities


Sales Support & Business Development

  • Support Enterprise, National, and Regional Sales Executives with daily sales activities.
  • Research prospective companies, decision-makers, staffing needs, and organizational structures.
  • Identify potential new business opportunities through online research, company websites, industry databases, and other sources.
  • Build and maintain prospect lists and target-account databases.
  • Assist with outbound prospecting campaigns through email, phone, and LinkedIn.
  • Schedule discovery calls, client meetings, presentations, and follow-ups.
  • Track prospect activity and ensure timely follow-up on sales opportunities.
  • Assist Sales Executives in developing account strategies and prospecting plans.


CRM & Sales Pipeline Management

  • Maintain accurate and up-to-date CRM records.
  • Enter new prospects, contacts, opportunities, activities, and notes.
  • Track sales opportunities from initial contact through close.
  • Maintain follow-up schedules and task lists for Sales Executives.
  • Prepare weekly and monthly pipeline reports.
  • Monitor sales activity against established KPIs.
  • Ensure all sales activity and client information is properly documented.


Client & Prospect Communication

  • Respond to routine prospect and client inquiries.
  • Coordinate introductions between prospects and Masis Staffing leadership.
  • Prepare meeting agendas, presentations, proposals, and follow-up materials.
  • Send thank-you and follow-up communications after meetings.
  • Help maintain regular communication with current clients to identify opportunities for expanded services.
  • Assist with client satisfaction and business review preparation.


Proposal & RFP Support

  • Assist with RFP, RFQ, and proposal preparation.
  • Gather company information, staffing capabilities, pricing information, case studies, and operational details.
  • Coordinate internal responses from Operations, Recruiting, HR, Finance, and Leadership.
  • Maintain proposal templates and supporting sales materials.
  • Track proposal deadlines and submission requirements.
  • Assist with presentations and finalist meetings.


Staffing Program Support

  • Assist with the development of new staffing programs, including:
    • Temporary staffing
    • Temp-to-hire
    • Direct hire
    • Onsite staffing
    • MSP programs
    • VMS programs
    • National/Multi-location programs
    • Master Service Agreements
  • Coordinate information required to transition new clients from Sales to Operations.
  • Assist with implementation checklists and launch documentation.
  • Help coordinate internal and client kickoff meetings.


Reporting & Sales Analytics

  • Prepare sales activity and pipeline reports.
  • Track:
    • New prospects
    • Meetings scheduled
    • Meetings completed
    • Opportunities created
    • Proposals submitted
    • New clients
    • New locations
    • Estimated revenue
    • Gross margin opportunities
  • Assist with maintaining sales dashboards and visual reporting.
  • Help identify trends and opportunities within sales data.

Qualifications

  • 1–3 years of sales, recruiting, staffing, customer service, or administrative experience preferred.
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management abilities.
  • Strong attention to detail.
  • Comfortable making outbound phone calls and sending prospecting emails.
  • Ability to manage multiple priorities and deadlines.
  • Proficiency with Microsoft Office, Excel, PowerPoint, and Outlook.
  • Experience with CRM systems preferred.
  • Ability to learn staffing terminology, processes, and technology quickly.
  • Professional, positive, and highly responsive communication style.
