Position Summary:
The Center for Church Management (the Center) at the Villanova School of Business (VSB) provides education and scholarship in the Augustinian Catholic tradition on strategic, management and financial matters in service to leaders of churches and Christian faith-based ministries.
The Program Coordinator (Coordinator) will provide support in the coordination, development, and execution of all Villanova Center for Church Management (Center) programs and initiatives under the direction of the Center Director. The Center enables current and future church leaders to steward the human, financial, and other resources of the Church by teaching business best practices in a Christian context of mission and ministry. These objectives are achieved through the Master of Science in Church Management (MSCM), non-credit certificate programming, research in the field of Church Management, and other education-based initiatives.
Key responsibilities of the Coordinator include coordinating Center events and ensuring effective communications with students and stakeholders. The Coordinator will support the development and execution of events, event marketing, event promotion, and social media content to ensure successful programs, events, and stakeholder engagement. They will be responsible for providing project support for external relations, community outreach, and participant engagement and will work to ensure high-quality service to students, faculty, alumni, program participants, and other stakeholders. Additionally, the Coordinator will generate and develop content for marketing and communications initiatives, ensuring brand consistency and alignment with the Center, University, and VSB's key messages and strategic objectives. They will also support the administrative duties of the Center and work with other Center staff on expense tracking.

Duties and Responsibilities:
Event Management
  • Support the Director and Assistant Director in planning and executing in-person events including the Church Management in the Diocesan Apostolate program (Bishop's Week), MSCM residency, Research Fellowship conference, Certificate in Church Management for Men in Formation, Advisory Council fall and spring meetings, and other Center conferences and events
  • Work with Director for strategic planning of annual events.
  • Work closely with Villanova Conference Services, Events Team and/or contracted hotel partners to ensure event hospitality is well-managed.
  • Manage registration process for assigned events, including, but not limited to events management software, reporting, and on-stie registration.
  • Attend and manage on-site logistics on the day of the event by coordinating vendors, managing registration, handling queries and troubleshooting to ensure all runs smoothly.
  • Attend and manage the set-up and breakdown of events, including clearing the venue and any necessary follow-up.

Marketing and Communications
  • Serve as initial point of contact for academic programs questions and inquiries, including MSCM and Certificate programs.
  • Assist Director and Assistant Director in donor stewardship projects such as mailings, seasonal gifts, and in-person hospitality.
  • Support Director and Associate Director in partner communications and outreach, particularly to help other organizations promote MSCM and Certificate programs during recruiting/registration seasons.
  • Assist Director and Assistant Director in strategizing, planning, creating, and executing email campaigns related to Center initiatives.
  • Maintain email database for accurate and complete contact data.
  • In partnership with VSB Marketing and Communications, ensure marketing content (displays, audio/visual, flyers, print-outs, partner-specific web content, etc.) is up-to-date and printed.
  • Work with VSB and University Marketing departments to coordinate photography and video for Center initiatives.
  • Spearhead programs to engage and connect alumni of the MSCM, the Augustinian Leadership Journey (ALJ), Certificate takers, and other friends and constituents of the Center.
  • Promote development and fundraising by overseeing 1842 Day promotion, annual donor recognition, and development initiative tracking.
  • In partnership with VSB Marketing and Communications, maintain website content and LinkedIn content and ensure that events and current research pages are up to date.

Center Administrative Support
  • Coordinate travel, lodging, and itineraries for Center staff for conferences, offsite workshops, and scheduling, particularly for the Center Faculty Director.
  • Assist Center staff in tracking spending, processing expense reports, and submission of invoices.
  • Assist Center staff in processing payments and managing expense reports, maintaining detailed information, and verifying center expenses aligned with multiple indexes.
  • Assist Center staff with short and long-range financial planning for the Center, particularly with regards to events and hospitality.

Perform additional duties and assist with special projects as assigned including serving as a representative from VSB for University mission-based activities.
Minimum Qualifications:
  • Bachelor's degree or equivalent of work experience or years of education
  • 2 years experience in a relevant and applicable work environment
  • Ability to develop and nurture relationships with students, staff, faculty, alumni, University offices, and outside service providers
  • Ability to streamline processes and procedures creating efficient operations
  • Ability to work independently to manage multiple projects and events
  • Excellent oral and written communication skills
  • Strong organizational, problem solving, decision-making and interpersonal skills
  • Strong program and project management skills
  • Ability to prioritize work and handle multiple tasks
  • Proficiency with Microsoft Office applications
  • Knowledge of general office equipment
  • Highly proficient in administrative functions including business correspondence, scheduling, budgeting and financial processes, and fielding telephone calls and email
  • Must know how to work and solve problems proactively and independently within a fast-paced environment
  • Flexibility in work schedule (occasional evenings and weekends, ability to travel domestically and internationally)
  • Must have a deep dedication to the well-being of the Villanova School of Business and Villanova University, a commitment to the University's Catholic and Augustinian heritage, values, and mission, and sensitivity to serving the needs of a diverse community
