Commercial Operations Coordinator

The Role

CEC is building a commercial function to support its growth across the Gulf Coast and beyond.

This person keeps the commercial engine running: the CRM that holds the pipeline, the proposals and qualification packages that win work, and the day-to-day coordination that lets business development spend its time in front of customers rather than on administration. It is a role for someone organized, self-directed, and comfortable being the person who makes sure nothing falls through the cracks.

It reports to the VP of Strategic Growth and works closely with business development, estimating, procurement and the Chief of Staff.


What You Will Own

CRM Administration and Reporting

Serve as the administrator for the company CRM. Keep the pipeline clean and current, maintain data standards, build and distribute pipeline and activity reports, and make the system a tool the commercial team actually relies on rather than works around.


Proposal and Qualification Support

Coordinate the assembly of proposals, statements of qualification, and one-page capability materials. Manage the intake and logistics of bid packages so the estimating team receives complete, organized requests. 

Working with the Chief of Staff, assemble prequalification packages for review and submission.


Marketing Coordination

Manage outsourced marketing firm and act as the internal point of contact for collateral, capability content and pursuit materials. Keep the company's external-facing materials current and consistent with brand standards.


Pursuit and Sales Administration

Coordinate meetings, track next steps and due dates, keep pursuit records current, and support the business development team with the scheduling and follow-through that keeps opportunities moving.


Contract and Agreement Tracking

Maintain the status of MSAs, NDAs and prequalification's inside the CRM so the commercial team can see, at a glance, where each account stands before a pursuit begins. 


What You Bring

Required

  • Three or more years in a coordination, operations, sales support, or administrative role, ideally in construction, engineering, energy, or a related industrial field.
  • Strong CRM skills and genuine comfort administering a system, not just using one. Experience with Zoho, Dynamics 365, Salesforce, HubSpot or similar.
  • Excellent written communication and a good eye for a clean, professional document.
  • Highly organized, able to manage many moving pieces at once, and comfortable owning a process end to end without close supervision.
  • Proficiency with Microsoft Office, particularly Excel, Word and PowerPoint.

Preferred

  • Familiarity with the proposal or bid process in a contracting or engineering environment.
  • Exposure to prequalification systems such as ISNetworld, Avetta, Highwire, etc.
  • An understanding of electrical, instrumentation or industrial construction.


Location and Travel

Based in CEC's Houston office. Primarily an in-office role, given the coordination it involves. Occasional travel to the Corpus Christi office or to company events, expected to be light.


Success in the First Ninety Days

  • The CRM is clean, current and trusted, with pipeline reporting the commercial team uses in its regular reviews.
  • A repeatable process exists for assembling proposals and qualification packages, with clear intake for the estimating team.
  • MSA, NDA and prequalification status is visible in the CRM for every active account.
  • The business development team is spending measurably more of its time on customer-facing work.
