Move-In Administrator

Scope & Purpose

The Move-In Administrator plays an integral role supporting the Move-In Team through a variety of operational duties throughout the move-in journey. As part of Neighbor Care, the Move-In Team's primary responsibilities include answering housing-related inquiries, processing applications, conducting housing interviews, supporting new neighbors through the move-in process, and prepping their homes for a smooth and dignified transition into the Village. This position is an administrative role that will perform supportive functions across the Move-In Team.

This is a full-time, non-exempt position reporting to the Senior Move-In Manager. Due to the nature and requirements of the position, hours are flexible to fit need, but typically include 8am-5pm Monday-Friday. Some nights and weekends may be required. The Move-In Administrator will office at Community First! Village located at 9116 Hog Eye Road, Austin, TX 78724.

Duties & Responsibilities

  • Serve as the central point of contact for the Housing Hotline. Answer housing inquiries via email and phone, providing general eligibility and application information to support applicants and referral partners in a timely manner
  • Complete data entry of new housing applications upon receipt
  • Assemble documentation and identify missing information in housing applications
  • Coordinate with the Move-In Specialist to obtain missing housing application information 
  • Monitor, follow up on, and retire applications that are not moving forward in the process
  • Maintain the booking calendar for housing interviews and in-person tours
  • Support the coordination of referral partner meetings, tours, trainings, and other communications
  • Manage purchasing and expense reconciliation for all Move-In team-related needs, including weekly move-in groceries, home essentials, furniture, neighbor and volunteer snacks, and office supplies
  • Serve as the point person for vetting in-kind donations, coordinating delivery, maintaining Amazon wish lists, and other online information in coordination with other internal departments
  • Communicate with Move-In Team members daily to ensure clarity, coordination, and flow of Move-In related activities
  • Perform administrative support, including preparing housing interview packets, scanning and uploading documents
  • Submit work orders for Move-In related needs
  • Serve as a backup for other Move-In Team members as needed
  • Create a monthly Move-In Team 'newsletter' that highlights the accomplishments of the team
  • Regularly attend required meetings, trainings, and other team-related activities
  • Other duties and responsibilities as needed
