Our Lamar office in Minneapolis, Minnesota is now hiring a new Contract Fulfillment Coordinator to help us bring innovative advertising campaigns to life for brands in Minneapolis, MN and the surrounding areas The purpose of this position is to assist the Transit and/or Airport Sales and Operations departments with duties related to the selection of locations and charting of Transit/Airport Advertisements into the inventory (charting) system, maintaining up-to-date information in charting for posting and receiving of materials, and creating work orders and routes for the posting.

Compensation Overview:

  • A full time hybrid work schedule Monday - Friday 8am - 5pm
  • The hourly range for this position is $30 - $32/ hour, dependent on relevant experience and qualifications.

Essential Functions and Responsibilities:

    • Act as the liaison between the Sales and Operations Department.
    • Chart all requests, contracts, and special requests from Sales staff, National Sales, Sales
    Manager, and General Manager in a timely and accurate manner.
    • For National Sales, keep abreast on updates on all posting instructions. Provide holds and
    proposal information for National Sales upon request. Process completion reports in accordance
    with National Sales deadlines.
    • Keep up-to-date and accurate posting information for each client.
    • Review and prepare posting routes in mobile operations and pull all work orders in the absence of
    the Operations Manager and assist in prioritizing installations.
    • Order and keep track of all posting supplies and assist in prepping for installation(s).
    • Maintain up-to-date lists of inventory (Digital, static, buses, trains, shelters, etc.).
    • Maintain an “end-of-day” inventory of all printed materials delivered to the plant and account for
    deliveries on a daily basis.
    • Maintain and update Account Executives, Operations Managers, Sales Manager, and General
    Manager on the timely arrival of printed materials as well as weekly updates of material in-house,
    ready to go, and materials missing.
    • Work closely with the Operations Manager to ensure Operations processes and procedures are
    moving smoothly.
    • Communicate through workflow software projected upcoming installations.
    • Utilize workflow software (Monday.com) to ensure campaigns are being pushed through in a
    timely manner.
    • Execute routine checks to audit inaccurate postings, old expired copy, and other service issues.
    Assist Account Executives and Operations with any additional charting-related functions to maintain
    strong support and communication.

    • Report on a daily basis all postings from the previous day and report on a weekly basis all
    postings for the previous week and upcoming availability.
    • Ensure all Airport Maintenance is being scheduled to keep assets in good working order.
    • Become familiar with all markets to perform cross-training duties as needed between markets.
    THE FOLLOWING DUTIES MAY VARY, DEPENDING ON LOCATION NEED(S):
    Digital Charting Responsibilities:
    • Serve as the liaison between the client, Lamar Account Executives, the plant, and the Network
    Operating Center (NOC) providing coordination of specific activities required to operate the digital
    display product successfully.
    • Ensure that the day-to-day operations of the display(s) are running smoothly and that the client’s
    needs are met on a daily basis.
    • Provide complete software support to clients where necessary.
    • Work with techs to quickly address any digital issues and deploy resources as needed.
    • Receive creative from the client and/or Lamar Artist, upload the creative, approve the scheduled
    creative for the client(s), and manage digital networks.
    • Ensure all maintenance is being scheduled and performed to keep assets in good working order.
    • Schedule and oversee the installation of custom displays with clients, vendors, and airport
    entities.
    • Schedule and oversee the production, installation, and billing for static and digital displays.
    Other Administrative Support:
    • Answering phones, typing correspondence, inputting and researching data, inputting and ordering
    production, uploading POP photos, charting responsibilities, Monday.com updating.
    • Support Operations with administrative duties.
    • Other duties as assigned by the manager.

    Knowledge, Skill, and Ability Requirements:

    • Requires an excellent command of the English language, both written and verbal.
    • Skill in speaking with persons of various social, cultural, economic, and educational backgrounds.
    • Requires continual attention to detail in composing, typing and proofing materials, establishing priorities, and meeting deadlines.
    • Strong work ethic – someone who takes great pride in professionalism, responsibility, and is proactive
    • Must be able to work independently and as a team member.
    • Must possess proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
    • Ability to use computers, fax machine, copiers, scanners and binding machines.
    • A high level of critical thinking skills to troubleshoot and solve obstacles that may arise.
    • Requires the ability to handle different challenges each day and adequately prioritize those demands.

    Education and Experience Requirements

    • High school diploma or Equivalent required
    • Associates and/or bachelor’s degree (in Business, Marketing, or another related field) preferred
    • 2 years of office experience is required. In lieu of experience, college education will be accepted.
    • A driver’s license is preferred.
    • Or another equivalent combination of education and experience

    Physical Demands and Work Environment

    • The primary work environment for this position is an office.
    • The physical demands for this position include light lifting, reaching, seeing (with a focus on reading, color distinction, and acuity), sitting more than 50% of the time, standing, talking, turning, and walking.
    • Nights spent away from home are less than 10%.
