Mission Project Coordinator

Full-Time 40 hours per week

Job Summary

The Mission Project Coordinator supports the efficiency and effectiveness of departmental operations. This positionโ€ฏis responsibleโ€ฏforโ€ฏsupportingโ€ฏthe development and advancement ofโ€ฏmissionโ€ฏdepartment programs,โ€ฏprojects,โ€ฏand initiatives.โ€ฏโ€ฏThe ideal candidate is detail-oriented, proactive, and skilled at creating structure and improving processes.โ€ฏ

Duties and Responsibilities

Data Tracking & Reporting:

  • Maintainaccurateand up-to-date program data across internal systems and databases.
  • Assistwith compliance documentation, data integrity processes, and reporting deadlines.
  • Partner withโ€ฏmissionโ€ฏleadershipโ€ฏteamโ€ฏtoโ€ฏmaintainโ€ฏand updateโ€ฏprogram outcomes, success stories,โ€ฏand metricsโ€ฏonโ€ฏmultipleโ€ฏplatformsโ€ฏand throughโ€ฏmultiple channels.

Marketing/Outreach:

  • Serve as the liaison with theMarketing andDevelopment department, communicating program updates, success stories, graduation dates, and other newsworthyevents.
  • Support the marketing department todevelop mission department outreach materials,as needed.
  • Ensure donors and grant funders arerecognized appropriately on allpromotional materials.

Operational Efficiencies:

  • Develop and implement internal and external communication strategies usingTeams, Monday.com, SharePoint, and others.
  • Implement process improvement strategies to support the missiondepartmentprogramming growth and expansion.
  • Provide general administrativeassistanceincluding scheduling, filing,anddocument preparation.
  • Maintain organized digital and physical office files and directories.
  • Assistwith onboarding tasks fornew staff, including system access and document setup.
  • Serve as a point of contact for office supplies, equipment requests, and basic troubleshooting.

Project Coordination:

  • Coordinate workforce development andre-entry focusedprojects, programs, andotherinitiatives inpartnership with Mission Leadership team.

Project & Workflow Coordination

  • Assistin implementing new systems and organizing tools to enhance organizational structure.
  • Track deadlines, projects, and follow-through tasks tomaintainoperational alignment.
  • Coordinateโ€ฏMission Departmentโ€™sโ€ฏworkforce developmentโ€ฏandโ€ฏSecond Chanceโ€ฏprojects, programs,โ€ฏandโ€ฏinitiatives in partnershipโ€ฏwith Mission Leadership Team.โ€ฏCurrent and upcoming projects, programs, andโ€ฏinitiativesโ€ฏincludeโ€ฏCareerNavigationCenterโ€ฏlaunch,โ€ฏFinancial Opportunity Center,โ€ฏmissionโ€ฏintegrationโ€ฏwithBusinessServices,โ€ฏruralโ€ฏmobileโ€ฏmissionโ€ฏunit,โ€ฏYouthBuild,โ€ฏparticipant/clientโ€ฏgraduations, staff trainings,โ€ฏcommittee meetings, andโ€ฏothers.โ€ฏ
  • Under guidance from the Chief Mission Officer,โ€ฏimplementโ€ฏprocess improvement strategies to supportโ€ฏtheMissionโ€ฏDepartmentโ€™sโ€ฏgeographicโ€ฏgrowthโ€ฏand efficient use of resources.
  • Serve asโ€ฏa liaisonโ€ฏwith theโ€ฏMarketing and Developmentdepartmentโ€ฏcommunicating program updates, success stories,โ€ฏgraduation dates, and other newsworthy opportunities.โ€ฏ

Experience and Education :โ€ฏ

  • Strong organizational skills,โ€ฏable toโ€ฏmanage and prioritize multiple tasks simultaneouslyโ€ฏโ€ฏ
  • Professional communication skillsโ€ฏboth written and oralโ€ฏ
  • Knowledge of/or ability to learn about the impact of poverty and the justice system on our low-income familiesโ€ฏ
  • Experience with scheduling appointments, coordinating meetingsโ€ฏ
  • Strong computer literacy and technical skillsโ€ฏ
