Pop-Up & Events Manager

Job Description

Position Overview


This is a hands-on, full-ownership role leading our new mobile coffee shop van, Blossom, for Cherry Coffee. You are responsible for everything that happens with Blossom from the first sales conversation to the last dish washed after an event. 


This role blends sales, operations, and hospitality. You’ll generate and close pop-up business, plan and run events, manage Blossom’s inventory and maintenance, and represent Cherry Coffee’s quality and values in every space Blossom shows up in. You report to the Cafe Director, but day-to-day, you run catering operations.


You are joining Cherry Coffee at a pivotal moment. As the company grows, Blossom’s mobile coffee shop operation is intended to grow into its own division - with a team, a dedicated budget, and a seat at the leadership table.


Essential Functions

As the Pop Up & Events Manager, you will be responsible for the creation and results of the following initiatives: 

Sales & Business Development

  • Generate new business through outbound outreach, networking, and community presence, especially during weeks without booked events.
  • Respond promptly to inbound leads.
  • Build and quote pricing for event packages, negotiate and sign client contracts directly.
  • Coordinate with the Marketing Manager on promotional efforts, campaigns, and brand presence, while owning all lead follow-up yourself.
  • Maintain a target of at least 2 booked events per week; when fewer events are booked, proactively schedule pop-ups or farmers market appearances to fill the gap.


Event Planning & Execution

  • Plan logistics for every event: menu coordination, timing, staffing, equipment, and setup/breakdown.
  • Personally drive Blossom to and from all events and pop-ups.
  • Coordinate with the Inventory/Ordering Lead, Coffee Lead, and Specialty Drink Lead at Cherry to ensure supplies are set aside and ready ahead of each event.
  • Identify staffing needs for larger events and request day-of help from the existing Cherry team — with as much advance notice as possible (30 or more days) so the Cafe Director can plan the schedule around it.
  • Collect client payments via card or invoice only (no cash handling).


Equipment, Cleaning, and Maintenance

  • Maintain Blossom and all equipment in clean, safe, working condition between and during events.
  • Track equipment and maintenance costs and report them as part of your regular reporting.
  • Handle minor repairs and upkeep directly; escalate any major mechanical or equipment issues to the Cafe Director before proceeding.


Requirements

  • 2+ years of professional coffee experience required, specialty coffee preferred. You should feel comfortable talking about sourcing, brewing methods, and quality with clients and at events.
  • Prior management experience, or demonstrated experience building a program/business from the ground up. 
  • Hold and maintain a valid driver's license and food manager's license at all times.
  • Clean driving record - you’ll be personally driving Blossom to and from each event.
  • Able to lift and move 50lbs, and comfortable with physical setup/breakdown in outdoor or variable conditions.
  • The expected work week for this role is 40 hours per week, with weekend availability required for events and markets. 


Pay Range

  • This will be a salaried position with a range of $45,000-$50,000 including salary and bonuses.
