We are seeking a qualified Management Administrator / Executive Assistant in Arlington, VA. This position is not eligible for hybrid or remote work situations. This is a 100% on-site, in-office position.

Position Description

The selectee will perform as the Decision Technologies Executive Assistant for a US Navy Weapons Engineering and Program Acquisition Support contract. YOU MUST BE ELIGIBLE FOR A DOD SECRET CLEARANCE

Responsibilities:

  • Provide planning and administrative support to the Program Manager (U.S. Navy Captain and Front Office personnel).
  • Prepare, track, update, maintain, and distribute schedules, calendars, action item lists, status reports, directories, and program documentation as required.
  • Assist in preparing correspondence and presentations.
  • Plan, organize, schedule, and execute SC meetings, RAM Launcher Working Groups, RAM Missile Working Groups, CIWS In-Process Reviews, Program Manager Reviews (PMR), and other programmatic/technical meetings, conferences, and working groups.
  • Prepare announcements, agendas, correspondence, information packages, briefing materials, SC decisions, and meeting minutes.
  • Coordinate and support on-site execution of meeting events, including audio-visual connectivity support.
  • Support IWS 11.0 efforts in the development and conclusion of necessary PEO IWS 11 MOAs/MOUs and amendments.
  • Draft and/or review correspondence and MOA/MOU documentation (SSOIs, Draft MOAs, MOUs, SOW, MOA Annexes, etc.).
  • Liaison with government, contractor, and field activities to resolve MOA/MOU issues.
  • Answer phones and emails, and escort guests in the government office spaces.
  • Plan and review travel and manage office travel plans
  • Track office supplies, create name tags, and serve as overall office manager

Required Qualifications:

  • At least 4 years' experience as a prior EA for a U.S. Navy program office
  • Experience managing other peoples' calendars as a delegate using Microsoft Outlook
  • Experience with the Defense Travel System (DTS)
  • Experience serializing and executing formal Navy correspondence on Navy letterhead
  • Be a proactive office manager to ensure all office operations are running smoothly
  • Experience with SharePoint, Teams, and Office 365 collaboration tools - experience specifically with U.S. Navy FlankSpeed
