Position Overview:
The Mortgage Loan Originator (MLO) Licensing Specialist is responsible for the administration and maintenance of all MLO licensing activities across multiple states.  This role ensures new and existing Loan Originators remain properly licensed and compliant with federal and state licensing requirements.  The specialist manages license transfers, new state license applications, renewals, continuing education requirements, and required pre-licensing education while serving as the primary internal resource for licensing-related questions.
The ideal candidate is highly organized, detail-oriented, and capable of managing multiple deadlines in a fast-paced environment with minimal supervision.
Key Responsibilities:
  • Coordinate and process MLO license transfers for newly hired Loan Originators.
  • Manage new state license applications through the Nationwide Multistate Licensing System (NMLS).
  • Oversee annual license renewal process for all licensed team members.
  • Monitor licensing expiration dates and ensure timely renewals.
  • Track Continuing Education (CE) requirements and proactively notify employees of upcoming deadlines.
  • Monitor completion of required SAFE pre-licensing education for new Loan Originators.
  • Ensure all licensing documentation is complete, accurate, and submitted on time.
  • Maintain accurate licensing records for all MLOs.
  • Assist Loan Originators with NMLS account updates and licensing questions.
  • Research and stay current on state-specific licensing requirements and regulatory changes.
  • Coordinate fingerprinting, background checks, and other licensing prerequisites as required.
  • Work closely with Recruiting, Human Resources, Compliance, and Sales Leadership to ensure licensing timelines align with onboarding and business needs.
  • Generate reports on licensing status, expirations, pending applications, and compliance metrics.
  • Maintain confidential employee licensing information.
  • Identify opportunities to improve licensing workflows and increase efficiency.
  • Perform additional administrative and compliance-related duties as assigned.

Qualifications
  • 1+ years of mortgage licensing, mortgage operations, compliance, or mortgage industry experience.
  • Working knowledge of NMLS and SAFE Act licensing requirements.
  • Strong organizational and time management skills.
  • Excellent attention to detail with the ability to manage multiple deadlines simultaneously.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office Suite (Excel, Outlook, Word).
  • Ability to work independently with minimal supervision and take ownership of responsibilities.
  • Strong problem-solving and critical-thinking skills.
Preferred Skills
  • Experience managing multi-state MLO licensing preferred.
  • Experience in a mortgage brokerage or mortgage banking environment.
  • Familiarity with state regulatory agencies and licensing requirements.
  • Experience using HRIS systems such as Rippling or similar platforms.
