Purpose of position
Support the Project Management and Engineering departments Team on specific project needs. This is done through exceptional organizational and time management skills with a strong team spirit.
Role and Responsibilities:
  • General knowledge and understanding of projects assigned following formal hand-off meetings.
  • Assist the Project team with downloading, set up and managing information in Procore.
  • Organize project meetings both internal and external, take notes and leads the managing of the information flow of the meeting notes within the Procore structure.
  • Liaison with Mentor shop personnel to facilitate a smooth transition of information flow to production as well as information and product from production as needed. This includes Strike-off request, samples, mockups, product deliveries, photos as needed, work order transfer forms, etc.
  • Do basic schedule updates to manage the FC report.
  • Assist in managing, maintaining, and updating the buyout folder and buyout tracking document of all projects in Procore.
  • Assist with compilation of monthly billings to ensure timely completion.
  • Assist with filing of all information into Procore to the proper file structure to optimize organization of all information.
  • Track all changes on deck (PCO’s), change requests (COR’s) and status within proper log.
  • Provide general administrative support with transmittals, scanning, and copying, etc.
  • Manage samples and mockups labeling and photo record.
  • Assist in scheduling of travel for team members, and expense reporting.
  • Coordinate with Site Manager and Production Scheduler to help manage deliveries to site.
Qualifications and Education Requirements
  • Knowledge of report handling and documentation flow.
  • Construction and/or woodworking experience helpful.
  • Ability to effectively manage/coordinate simultaneous activities and prioritize multiple tasks with good judgment.
  • Strong attention to detail.
  • Effective oral and written communication skills.
  • Ability to work with and maintain confidential information.
  • Ability to work with multiple personality types and must demonstrate polished interpersonal skills.
