Job description

Overview:

A  mid-sized, family-owned, project-based engineering firm, is hiring a Project Accounting Manager to lead billing, invoicing, and reconciliation for the accounting function. The company provides accounting support across diverse projects nationwide, partnering with national-level clients and architectural and engineering firms, and prides itself on quality, efficiency, and clear communication.

This is a hands-on leadership role for someone who wants to own a high-volume, milestone-based billing process from end to end - managing a small team, keeping cash flow moving, and building the SOPs that let the accounting function scale.

The Role:

The Project Accounting Manager owns phase- and milestone-based billing across roughly 1,000 active projects a year (up to 6,000 invoices annually), leading a team of 2 accountants who handle billing and collections. Success in this role looks like a clean, on-time invoicing cycle, tight reconciliation, proactive error-catching, and a team that runs with minimal hand-holding.

The role reports directly to the CEO, with regular day-to-day communication touching the CFO on reporting and reconciliation matters. It's a strong fit for a self-starter who is comfortable owning process independently and staying sharp under deadline pressure.

Responsibilities

•     Manage phase- and milestone-based billing across a high volume of active projects, identifying and correcting billing errors and adjustments proactively

•     Oversee the twice-monthly invoicing cycle, reconciliation, and collections

•     Supervise and mentor a team of 2 accountants covering billing and collections functions

•     Manage cash flow reconciliation amid project-driven revenue volatility

•     Handle payment processing, vendor payments, and check deposits

•     Support payroll accounting and light HR administration (onboarding/offboarding paperwork, ADP system — no HR generalist work)

•     Prepare monthly managerial reporting (no financial analysis required)

•     Contribute to the development of SOPs for the accounting function

Requirements

•     5+ years of accounting experience, ideally in project-based billing (AEC, professional services, or similar)

•     Experience managing or mentoring accounting staff

•     High attention to detail; comfortable with high transaction volume and pressure

•     Experience with ADP and accounting software (Sage, QuickBooks, or similar)

•     Independent, low-ego, “diehard accountant” mentality — process-oriented and dependable

•     Bachelor's degree in Accounting or Finance required

Nice to Have

•     Master's-level degree in Accounting or Finance

•     Additional accounting certifications

•     HR experience

In-office role based in Miami, FL, with some flexibility. Relocation assistance available. Standard 40–45 hours/week, with occasional overtime during peak billing cycles.
