Job description

SUMMARY

The Donor Stewardship Coordinator plays a critical role in supporting the cultivation and stewardship of individual donors across all giving levels—both within and outside of Workplace Campaigns—with the goal of increasing engagement and growing giving year over year.

This role ensures a consistent, donor-centered experience that moves individuals through the donor giving pyramid by strengthening relationships, enhancing communications, and executing meaningful engagement opportunities. Reporting to the Associate Director of Individual Giving, the Donor Stewardship Coordinator provides input into donor engagement and communication strategies and is responsible for executing key stewardship initiatives across the Individual Giving program.

ESSENTIAL FUNCTIONS

Donor Stewardship & Engagement Execution:

  • Executes donor stewardship strategies that support retention, engagement, and increased giving across all individual donor segments
  • Supports cultivation and stewardship efforts for donors at all levels, ensuring a consistent and positive donor experience
  • Contributes to moving donors up the giving pyramid through intentional engagement and recognition activities

Leadership Giving Network Support:

  • Executes two annual Leaders United newsletters, ensuring timely, engaging, and donor-centered content
  • Coordinates and executes Leadership Giving Network engagement events and activities throughout the year
  • Manages weekly welcome letters to new Leadership Giving Network members
  • Coordinates community award congratulatory outreach to donors and prospects

Donor Communications & Acknowledgement:

  • Assists the Executive Assistant to the Chief Development Officer with donor acknowledgment communications, including general and specialized thank-you messaging
  • Maintains donor data base ensuring integrity and accuracy of donor demographics, contact information and donor gift records
  • Provides input on donor engagement and communication strategies across all giving levels

Event Coordination & Stewardship Activities:

  • Coordinates logistics for donor cultivation and stewardship events, including invitation lists, RSVPs, and event materials
  • Coordinates with Marketing and Communications to produce invitations, electronic messaging, event signage, video content and event photography
  • Manages registration and donor experience elements at events, ensuring a welcoming and organized experience

Data, Systems & Reporting:

  • Maintains accurate and timely donor data within CRM systems
  • Coordinates with IT to prepare segmented donor lists for communications and events
  • Tracks engagement activities and supports reporting on donor stewardship efforts
  • Ensures data integrity to support strategic decision-making

Cross-Functional Collaboration:

  • Works closely with Individual Giving, Marketing & Communications, and Community Impact teams to align donor engagement efforts
  • Supports integration of stewardship activities across Workplace Campaigns and individual giving strategies
  • Serves as a connector across donor segments to ensure consistency in messaging and experience

ROLE CLARITY WITHIN INDIVIDUAL GIVING STRUCTURE

Senior Director of Individual Giving and Strategic Fundraising Initiatives:

  • Oversees all Individual Giving activities and Gift Officers
  • Leads strategy across all donor segments and strategic fundraising initiatives
  • Responsible for growth in asset-based giving, planned giving, legacy, and endowment gifts

Associate Director of Individual Giving (Donors under $10,000):

  • Develops strategy for donors under $10,000
  • Oversees execution across annual and mid-level giving segments
  • Responsible for achieving or exceeding fundraising goals within assigned portfolio

Associate Director of Major Giving (Donors $10,000+):

  • Develops strategy for major and leadership-level donors
  • Oversees execution of major gift strategies
  • Responsible for achieving or exceeding fundraising goals within assigned portfolio

Mid-Level Gift Officer:

  • Provides input into strategy for donors $1,000–$9,999
  • Leads execution of strategy for this portfolio
  • Accountable for relationship management and revenue outcomes

Donor Stewardship Coordinator:

  • Supports execution of donor engagement and stewardship strategies across all giving levels
  • Provides input into communication and engagement strategies
  • Responsible for consistent donor experience, recognition, and engagement activities that support donor growth

SKILLS AND COMPETENCIES

EDUCATION AND EXPERIENCE

  • Associate’s or Bachelor’s degree in a related field preferred, or equivalent experience
  • 2–4 years of experience in administrative support, event coordination, fundraising, or customer engagement
  • Experience working with CRM systems and donor communications preferred

REPORTS TO: Associate Director of Individual Giving

SUPERVISORY RESPONSIBILITY: May supervise interns, volunteers, or temporary staff

WORK SCHEDULE AND TRAVEL: Hybrid. Some Nights and Weekend Events. Local travel may be required

FLSA CLASSIFICATION: Non-Exempt

SALARY RANGE: $58,000-$65,000
