Overview

We are seeking a dynamic and proactive Executive Assistant (EA) to support the President of Pharmacy Automation (RxA) in our Durham NC BD location. This role is highly visible and involves complex administrative responsibilities, serving as the primary administrative liaison with senior management, customers, and their assistants as well as the RxA team. The EA must work independently under strict deadlines, manage competing priorities, ability to discern priorities, and handle multiple tasks efficiently.

Key Responsibilities:

Administrative Support:

  • Provide comprehensive administrative support including managing calendars, scheduling meetings, coordinating travel arrangements, andsubmittingexpense reports.

  • Handle all administrative matters related to on-site and off-site meetings, including booking meeting rooms, arranging catering, and ensuring the room is equipped appropriately.

  • Maintain daily calendars and resolve any scheduling issues.

  • Prepare Word, Excel, and PowerPoint presentations, agendas, reports, and other documents in support of organizationalobjectives. May also work on special projects as needed.

Leadership Support:

  • Work closely with the President and other senior leaders to provide support relating to routine and specific matters, including scheduling leadership team meetings, town halls, training sessions, and off-site meetings.

  • Serve as a liaison to the management teams within the Connected Care Segment and acrossBD as a whole.

  • Organize and coordinate executive outreach and externalrelations efforts andoversee special projects.

  • Maysupport other senior leaders as needed.

Communication and Coordination:

  • Screen incoming requests, take and deliveraccuratemessages, and respond to requests by gathering and providing information.

  • Draft and prepare correspondence for internal announcementsand toexternal organizations. Welcome guests by greeting them in person, via email, or over the phone, and answer or direct inquiries.

Confidentiality and Discretion:

  • Manage sensitive matters witha high levelof confidentiality and discretion, especially decisions directlyimpactingthe global operations of the company.

  • Use discretion, confidentiality, and good judgment to handle executive leadership matters.

Qualifications:

  • High school diploma/GED with formal training or equivalent work experiencerequired. College degree preferred.

  • At least 5 years' experience supporting a President, EVP or C-suite executiverequired.

  • Advancedproficiencyin Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Copilot), including designingcomplexdocuments/presentations required. Docusign experience preferred.

  • Extensive experience in calendar management and travel booking/expense preparation using platforms like Concur required.

  • Ability to handle multiple tasks efficiently in a fast-paced environment andmaintaina high degree of confidentiality, high attention to detail, and professionalism required.
