Position Title: Graduate Medical Education (GME) Institutional Administrator

Position Location: This position is full time in Bethesda, MD


Daily Responsibilities: 

  • Support institutional compliance with applicable ACGME Institutional Requirements and coordinate Sponsoring Institution accreditation activities, reporting, Annual Updates, site visits, Self-Studies, and other institutional submissions.
  • Maintain institutional accreditation documentation, supporting evidence, databases, and reporting systems.
  • Provide administrative support for the GMEC and its subcommittees, including scheduling meetings, preparing agendas and supporting materials, recording minutes, maintaining records, and tracking action items.
  • Coordinate Annual Program Reviews, the Annual Institutional Review, Special Reviews, and associated action plans and quality improvement activities.
  • Support annual Clinical Fellow onboarding, appointment, orientation, and administration, including coordination with appropriate NIH offices and maintenance of timelines, checklists, and completion records.
  • Manage the GME trainee software platform, maintain GME records and evaluations, and arrange system training for new and advanced users.
  • Coordinate training and familiarization of institutional educational policies and procedures with appropriate stakeholders.
  • Maintain collaborative relationships among NIH Institutes and Centers, Program Directors, Program Coordinators, Clinical Fellows, and institutional leadership.
  • Lead a forum of GME Program Coordinators to provide support and training.
  • Maintain institutional data securely, protect confidential information, and demonstrate professionalism, discretion, and sound judgment.


Required Years of Experience (min):       

  • A minimum of (1) one year of direct and progressively responsible experience in graduate medical education administration, academic medicine, healthcare administration, or a comparable environment.


Required Degree/Certifications:           

  • A bachelor’s degree from an accredited institution in healthcare administration, higher education administration, business administration, public health, or a related discipline.
  • Preferred: A master’s degree is a plus.

Required Experience & Expertise in the following areas:

  • Demonstrated experience supporting an ACGME-accredited residency or fellowship program; or Sponsoring Institution, Designated Institutional Official, Graduate Medical Education Committee, or equivalent educational governance structure.
  • Demonstrated knowledge of ACGME Institutional and Program Requirements and graduate medical education administration.
  • Experience coordinating accreditation activities and regulatory compliance.
  • Excellent organizational, analytical, and project management skills.
  • Excellent written and verbal communication skills.
  • Proficiency using Microsoft Office applications.
  • Demonstrated ability to manage multiple priorities while maintaining exceptional attention to detail.
  • Ability to maintain confidential information with discretion.
  • English proficiency, computer literacy, interpersonal skills, required education and competency, and Basic Life Support certification if required by the contract.
  • Experience with Annual Institutional Reviews, Special Reviews, accreditation site visits, or Self-Studies, where applicable.
  • Experience coordinating institutional- or program-level accreditation activities, including ADS Annual Updates, program applications, or complement change documentation.
  • Experience with Clinical Fellow, resident, or fellow onboarding, appointment, and administration processes, including coordination across multiple offices.
  • Familiarity with the federal/NIH operating environment, including experience working within a federal agency, military treatment facility, VA, or other government setting subject to federal personnel, procurement, and administrative rules.
  • Preferred: Experience using GME management systems such as New Innovations, MedHub, ADS, or comparable systems is preferred.

  • Must be able to successfully complete and maintain the required federal background investigation.
