Your contribution!

As a Senior Documentation Technician, you will play a key role in managing, organizing, preserving, and disseminating paper and digital documents, as well as company information.

You will ensure strict adherence to documentation standards and procedures while optimizing the accessibility, reliability, and security of information resources. As a go-to resource, you will support teams with their document management needs, contribute to the continuous improvement of processes, and help implement sustainable and innovative solutions in information management.

Your day-to-day!

  • Oversee and participate in the implementation of records management and privacy policies
  • Provide strategic and operational oversight of the lifecycle of paper and digital documents, including the processes for archiving and destruction
  • Organize, file, index, and preserve documents in accordance with established standards, while suggesting improvements to work methods
  • Perform and oversee the physical and digital processing of documents (metadata, coding, migration, and quality control)
  • Promote and provide guidance on best practices in records management to the various teams
  • Train and assist users in applying policies, procedures, and documentation guidelines
  • Support users in using the systems and tools managed by the team, including the corporate document management system, electronic signature solutions, and secure information-sharing platforms
  • Carry out various strategic and operational responsibilities related to records management
  • Lead or contribute to continuous improvement projects aimed at optimizing the efficiency, performance, and operational results of document management processes
  • Participate in internal and external records management projects, including planning, coordinating with stakeholders, and monitoring results
  • Help carry out projects such as data rooms, due diligence exercises, and other initiatives that require rigorous document management

Your skills, our requirements!

  • DEC (College diploma) in Information Science or equivalent
  • Certificate in Records and Archives Management or equivalent
  • Between 7 and 10 years of relevant experience in records management and archiving
  • Excellent knowledge of standards, principles, and best practices in records management and archiving
  • Advanced proficiency in electronic document management (EDM) tools and related systems
  • Knowledge of M-Files is a plus
  • Knowledge of the regulatory frameworks applicable to the protection of personal information (GDPR, Bill 25, CCPA, etc.) is a plus
  • Knowledge of the regulatory frameworks applicable to information management in various business areas (finance, engineering, human resources, legal, technology, etc.) is a plus

  • Strong organizational skills and the ability to manage multiple priorities at the same time

  • Ability to oversee complex documentation processes

  • Strong analytical skills and a keen eye for detail
