Executive Assistant

The Executive Assistant will provide high-level administrative support to the CEO and other members of the executive team. This dynamic position supports Urgo Medical and its employees through a variety of organizational tasks and is responsible for confidential and time sensitive projects and materials. The Executive Assistant must be able to deliver high quality and timely work on a consistent basis. This role requires discretion, sound judgment, strong communication skills, and the ability to manage complex schedules and projects in a fast-paced environment. The ideal candidate is proactive, detail-oriented, and comfortable acting as a trusted strategic partner to the executive team while interacting with senior leadership, board members, and external stakeholders.

This is an in-office position in Fort Worth, Texas.

Job Duties and Responsibilities
  • Serve as a strategic partner to the CEO, proactively managing priorities and ensuring alignment with business objectives
  • Manage calendars, including scheduling meetings, travel, and appointments with internal and external stakeholders
  • Anticipate scheduling conflicts and proactively resolve them
  • Serve as a gatekeeper to the CEO and the executive team, prioritizing requests and ensuring appropriate follow-through
  • Prepare agendas, briefing materials, presentations, and talking points for meetings and events
  • Own complex, ever-changing calendar management across multiple executives and time zones
  • Anticipate and resolve scheduling conflicts with precision and efficiency
  • Coordinate detailed domestic and international travel, including multi-leg and multi-time-zone logistics
  • Manage expense reporting and travel-related administrative tasks
  • Serve as a primary point of contact between the CEO and senior leadership, employees, and external partners
  • Draft, review, and manage correspondence on behalf of the CEO
  • Coordinate executive-level meetings, leadership offsites, and company events
  • Maintain confidentiality while handling sensitive and proprietary information
  • Manage confidential, legal, and personnel-related information with the highest level of discretion
  • Own special projects, research, and initiatives as directed by the CEO/executive team
  • Track action items and follow up to ensure timely completion
  • Drive process improvements to enhance efficiency and effectiveness of the executive office
  • Help align priorities across departments by coordinating with leadership team members
  • Plan and execute executive meetings, leadership offsites, and company-wide events
  • Maintain organized electronic and physical filing systems
  • Support preparation for board meetings, including logistics, materials, and communication
Competencies
  • Ability to communicate professionally and effectively
  • Ability to react with appropriate levels of urgency and able to maintain a high level of integrity and discretion in handling confidential information
  • Ability to manage multiple projects and meet deadlines timely
  • Ability to work independently and collaboratively with the executive team
  • Project management experience and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors
  • Patience and the capability to communicate with a diverse range of people
  • Familiarity with expense systems, Concur preferred
Requirements
  • 10+ years of experience of executive-level administrative support experience, preferably in a fast-paced and growing environment
  • Strong organizational skills & the ability to accommodate different executive work styles
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, OneNote)
  • Excellent organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Proven ability to handle confidential information with discretion and professionalism
  • Exceptional judgement, proactive decision-making, and problem-solving
  • Bachelor's degree in business, communications, or another relevant field of study is desired
Work Environment
  • Indoors, in an office environment, with temperature control
  • No adverse environmental conditions expected
  • 5-10% travel
Physical Demands

Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; the ability to operate standard office equipment and keyboards.
