Mediation Case Administrator & Front Office Support


Schedule: Full time, Monday-Friday, 7:30 a.m. to 4:30 p.m.

Location: Sacramento

Pay Rate: $20โ€“$23 per hour, based on experience

Core Responsibilities
  • Perform data entry with a strong focus on quality, consistency, and data integrity.
  • Oversee case billing processes, including invoicing, credits, and preparing files for refund review.
  • Manage legal briefs and handle confidential document administration
  • Handle multi-line phone calls while delivering Gold Standard client support.
  • Assist clients with portal setup, enable access, and account maintenance
  • Support post-session collections by executing timely follow-up and resolving outstanding balances.
  • Send templated emails and system notifications.
  • Provide front desk support as needed, including client check-ins, delivering a seamless experience.
  • Maintain organized and functional office facilities, including office supplies and catering items.
  • Support room and catering setup as well as day-of session logistics.
  • Process incoming and outgoing mail ensuring same-day distribution.
  • Support special projects, departmental initiatives, and other tasks assigned by Leadership.
Position Requirements
  • At least 1 year of experience in data entry, administrative support, customer service, or similar work environments
  • Strong accuracy and attention to detail, especially with data and documentation
  • Proven ability to stay organized while managing multiple tasks and deadlines
  • Clear and positive communication skills with a client-service mindset
  • Comfortable problem-solving, researching issues, and resolving discrepancies
  • Ability to work both independently and collaboratively within a team
  • Proficiency with standard office software (Microsoft Office, PDF tools, etc.)
