Job description

Business Analyst IT Tier 1 (Coordination & Reporting)

Duration: September 8, 2026 – September 6, 2028 (2-year long contract)

Extension Possibility: Possible, depending on business needs

Work Hours: 7.5 hours/day within 6:00 a.m.–6:00 p.m. CT (flexible start/end times)

Project Overview

Our employer is undergoing a large‐scale SharePoint retention and migration initiative driven by OSFI findings related to improper retention practices. Globally, thousands of SharePoint sites require remediation; the U.S. alone has 1,200 sites.

All U.S. sites are being migrated to AvePoint, a SharePoint-based platform. The project was originally estimated at 4.5–5 years for the U.S., but the Board has accelerated the timeline to end of 2027 (possibly mid‐2028). This creates an intensive 12–18 month execution window with 17,000+ hours of work required.

To meet the accelerated deadlines, our employer is building a Tiger Team responsible for coordinating with Information Stewards, executing migration tasks, and ensuring retention compliance. This Business Analyst IT I role is the reporting and coordination arm of that Tiger Team.

Role Purpose

The Business Analyst IT I supports the SharePoint Migration Program by coordinating deliverables, running reports, validating retention requirements, and ensuring Information Stewards complete required actions. The role is heavily focused on reporting, tracking, follow‐ups, issue triage, and SharePoint support.

Key Responsibilities of Tiger Team Resource (Coordination and Execution)

  • Manage and coordinate BG SharePoint project activities in line with the approved schedule (to be provided)
  • Investigate and triage issues impacting deliverables (e.g., site access problems, orphan site ownership assessment)
  • Track BG deliverables, execute SharePoint migration tasks, and report status and escalations
  • Prepare and submit SP Migration project KRIs on a scheduled basis
  • Monitor and report progress weekly to the Record Steward and Tiger Team Project Coordinator

Critical Skills / Must-Haves:

1. Minimum 1 year of relevant experience

2. Advanced Excel skills —pivot tables, automated reporting, macros, workbook validation

3. SharePoint knowledge — basic administration, user management, understanding of parent/child site structures

4. Strong communication skills — high volume of follow‐ups and stakeholder coordination

5. Attention to detail — accuracy in reporting, tracking, and documentation

6. Ability to self‐manage — work independently within a fast‐moving project

7. Ability to take direction — follow guidance from Record Steward and Tiger Team leadership

Role Complexity & Volume

  • Approximately 600 Information Stewards globally (56 active for September)
  • High volume of follow‐ups due to sabbaticals, departures, and bounce‐backs
  • Competing Outlook retention project launching September 14 (global 7‐year deletion policy), increasing urgency for SharePoint remediation
  • Significant reporting workload across migration schedules, KRIs, and compliance tracking
