Title: House Manager with Meal Prep Support

Location: Libertyville, IL 60048

Employment Type: Part-time (20-25 hours/week)

Proposed Start Date: ASAP

Compensation: $30-35/hour based on experience

Requirements:

Proposed Schedule:

  • Monday: Heavier hours for meal prep and week setup (core hours ~12pm-5pm)
  • Tuesday-Thursday: ~12pm-5pm with flexibility for occasional aftercare pickup

About Our Family:

We are a busy family of three living in Libertyville, IL. Both of us have demanding careers, with one working a hybrid schedule from home on Mondays and Fridays, and the other spending more time in the office. Our 7-year-old son and two energetic dogs (a lab mix and a bernadoodle) add a healthy dose of chaos and fun to our lives. Our days are filled with professional commitments, family activities, and a lot of moving parts.

Meal prep is a huge priority for us, as it enables us to focus on our health goals and free up precious time for family activities. Our 7-year-old son enjoys eating versions of our meals (minus mushrooms!), so we need help with both meal prep and organizing our food for the week. Having someone to assist with this aspect of our routine would free us up to spend more time together, enjoying activities like bike rides, walks with the dogs, and simply connecting as a family.

With travel occurring at least once a month and several simultaneous trips each year, we need someone who can step in, keep everything in our home running smoothly, and provide backup support for our child when needed.

Who We're Looking For

We're seeking a detail-oriented, and proactive individual who can step in and help streamline our busy lives. The ideal candidate is someone with experience in household management and meal prep, who can handle the demands of our varied schedules and health goals.

You should be comfortable following recipes and meal plans provided, but also able to anticipate our needs and help streamline things. Your ability to take ownership of meal prep-whether it's batch cooking proteins, rice, and vegetables or organizing the fridge for the week-will play a key role in ensuring our household runs smoothly.

In addition to meal prep, we're looking for someone who can help maintain household organization, coordinate errands, and provide light support with childcare as needed. We need someone who can think on their feet, handle multiple tasks independently, and offer suggestions to make our home more efficient.

Our family values flexibility, communication, and a sense of calm in managing our home. Key Responsibilities:

This role focuses on keeping the household running smoothly day to day, with a few core priorities that anchor the work. Other responsibilities support the overall flow of the home and are handled as time allows or on an as-needed basis. We care more about the right things getting done - not checking all the boxes.

Weekly Priorities:

  • Regularly batch-cook proteins and other meal components (rice, vegetables, etc.)
  • Prepare and portion breakfasts, lunches & dinners using recipes from a meal plan
  • Ensure kitchen cleanliness post meal prep
  • Assist with smaller, on-going tasks, such as laundry, errands, maintaining home systems
  • Do a final 10-15 minute sweep of the house to reset rooms before leaving

Those core daily and weekly responsibilities come first, but once handled, we welcome support in other areas based on time, energy, and household needs that week, including:

Household Management & Organization

  • Update and maintain household organization systems (closets, storage, pantry, toys)
  • Reset and tidy rooms daily; maintain overall neatness, ensure home is prepped for cleaning services
  • Oversee household schedules, merging school and travel calendars
  • Transition our son's clothing as he outgrows sizes
  • Help prepare for our son's birthday party
  • Prepare and coordinate donation drop offs and pick ups
  • Helping support packing for our son for travel
  • Supervise or coordinate with service providers/vendors
  • Be home to receive wine club delivery or pick up from Walgreens
  • Load/unload dishwasher, wipe surfaces, vacuum high traffic areas
  • Maintain indoor plants

Inventory Management & Errands

  • Track and restock pantry, fridge, toiletries, household supplies
  • Create and manage running household supply lists
  • Coordinate and manage household orders (Amazon, Costco, Target, etc.)
  • Run errands: grocery shopping, returns, dry cleaning, gift shopping
  • Breaking down boxes from deliveries

Meal Planning & Preparation

  • Prepare and batch cook proteins, vegetables, and carbs
  • Replenish and keep snack drawer organized and stocked
  • Shop for groceries and meal-related items
  • Clean kitchen post-prep and manage kitchen tidiness

Laundry & Linen Care

  • Wash, dry, fold, and organize family laundry (e.g., clothing, bedding, towels)
  • Coordinate with cleaners to manage linens: rotate bedding, refresh towels, restock essentials
  • Keep laundry areas tidy and well-stocked with supplies

Pet Care

  • Coordinate with dog walker for consistency and coverage
  • Take and pick up dogs from the groomer
  • Keep pet supplies stocked and organized

Vehicle Management

  • Ensure vehicles are cleaned, and organized

Vendor & Property Oversight

  • Assist with managing and coordinating with vendors and contractors for ongoing house projects
  • Research and coordinate repairs, maintenance, and quotes
  • Potentially help with property management items for our second home in Wisconsin
  • Occasionally pitch in when the outdoor spaces need some attention (shovel snow, etc.)

Family Support & Child Assistance

  • Assist with occasional aftercare pick-ups
  • Occasional back up child care support
  • Occasionally prep backpacks, clothing, or snacks for school

Deep Cleaning & Special Projects

  • Coordinate with cleaners to tackle rotating deep cleans (fridge, oven, baseboards, etc.)
  • Maintain and refresh specific zones (entryways, garage, mudroom)

Administrative & Personal Assistant Support

  • Potential help with travel planning, scheduling, and logistics
  • Manage family calendars and reminders
