THE POSITION

Keyera is currently seeking a Maintenance Administrator to support the Maintenance Department at our Keyera Fort Saskatchewan Complex (KFS).

Reporting to the Area Maintenance Manager, this role will provide administrative, reporting, and systems support to the KFS Maintenance Department. The successful candidate will play an important role in supporting maintenance leaders, maintaining accurate records, supporting departmental activities, and helping ensure consistent work processes across a large and dynamic plant maintenance team.

This role is primarily based at KFS South, with a permanent onsite office and access to workspace at KFS North as needed. The role also offers work schedule options, including 9x80 or 4x10.

RESPONSIBILITIES

  • Provide day-to-day administrative and systems support to the KFS Maintenance Department, supporting a team of approximately 65 maintenance employees and working closely with approximately 10 maintenance leaders.

  • Work closely with Keyera's Computerized Maintenance Management System, Maximo, to support maintenance contractor timesheets/LEMs, planning, scheduling, purchasing, and asset documentation.

  • Support maintenance planning and scheduling activities by preparing work packages, managing documentation, updating meetings and schedules, and maintaining accurate maintenance records.

  • Support the generation and distribution of monthly maintenance reports and KPI dashboards, including HSE, reliability, asset management, scheduling, and newsletter reporting.

  • Work with the Maintenance leadership team to prepare, manage, and maintain departmental guidelines to support consistency in work processes, tasks, records, and reporting.

  • Support turnaround and outage activities through administrative support, document management, and related maintenance activities.

  • Act as the site liaison for fleet management, including supporting the Fleet Manager and Supply Chain Management on budget and strategy and collecting monthly vehicle tracking data from Maintenance Leads and Labourers for KFS vehicles.

  • Serve as the site contact for office building services, including janitorial, renovations, utilities, and related services, while involving appropriate plant site stakeholders.

  • Support routine purchase requisitions related to building services, PPE, small tools, consumables, and other maintenance-related needs.

  • Contribute to continuous improvement initiatives and support Keyera's Health, Safety, Environment, and Operational Excellence objectives.

  • Work as part of the broader KFS Plant Administration team by providing backup coverage and support to peer plant site administrators as required.

QUALIFICATIONS

  • Strong organizational, communication, and time management skills, with the ability to manage multiple priorities with a high degree of accuracy and attention to detail.

  • Advanced proficiency with Microsoft Office applications, particularly Excel, Word, and Outlook; experience with Power BI would be considered an asset.

  • Administrative experience in an industrial, manufacturing, petrochemical, or oil and gas environment would be considered an asset.

  • Experience working with CMMS systems such as SAP PM, Maximo, or similar systems would be considered an asset.

  • Experience supporting maintenance planning and scheduling activities would be considered an asset.

  • Familiarity with procurement, inventory management, and contractor administration processes would be considered an asset.

  • Knowledge of industrial maintenance terminology and equipment would be considered an asset.

  • A diploma or certificate in Business Administration, Office Administration, Maintenance Management, or a related discipline would be considered an asset.

  • Post-secondary education would be considered advantageous; however, we are also open to candidates who bring strong critical thinking skills and the ability to learn and grow within the role.
