Position Overview:

Maintain an organized and service oriented office for students, parents and staff; provide support to 9 administrators; 70+ student staff members; triage phone calls and visitors from departments, parents and students while balancing administrative and operational tasks.


Primary Responsibilities:

  • Maintain daily operation of the office; schedule meetings, answering emails, oversight of the guest registration, and sending weekend updates.

  • Triage phone calls from parents, students, staff and visitors to send to appropriate staff; often provide answer without needing to pass call along to someone else; answer Residence Life Voicemails

  • Maintain budget process – payroll for students, receipts, payment vouchers, purchase orders, p-card transactions, programming ordering, etc.

  • Manage contracts for the departments such as vendors needed for furniture replacement, movers, programming, laundry, opening/closings, etc

  • Respond to emails from res life email account; provide assistance with My Mack pages and Residence Life website

  • Hire, train and, supervise student workers to ensure that the front office is running smoothly and providing strong customer service

  • Create and maintain good relationships with campus partners such as student accounts, Mackforce, and the Division of Student affairs

  • Provide support for major department and divisional projects such as: RA selection process and hiring process for professional staff; housing selection, RA training, openings and closing of residence halls, spring weekend and homecoming.

  • Participate in weekly staff meetings.

  • Other duties as assigned


Qualifications and Skills

  • Bachelor’s Degree

  • Computer skills ( experience with Google sheets, docs, etc.)

  • Strong interpersonal and communication skills

  • Ability to juggle competing demands in a calm and friendly manner


Experience
