Department: Materials Management  
Reports To: Supply Chain Manager          
FLSA Status:   Non-Exempt  

SUMMARY
The Materials Management Assistant works with department managers and all other employees to maintain stocking levels, expedites purchase orders, fill requisitions, assist with Accounts Payable and other duties as needed in the department 

ESSENTIAL DUTIES & RESPONSIBILITIES  include the following. Other duties may be assigned. 

  • Receives, checks, tags, stocks and delivers incoming freight to appropriate department in a timely manner. Investigate, report and adjust any discrepancies.  
  • Monitors and rotates stock and recommends restock levels as needed. 
  • Fills department requisitions and delivers in a timely fashion. 
  • Manage purchase order process, receiving and issues for all departments.  
  • Coordinates shipping terms and reports back orders to departments. 
  • Consults and coordinates with the vendor concerning the return of incorrectly shipped, incorrectly ordered, damaged items and backorders. 
  • Monitors the receiving and storing of purchased items for accuracy, review computer records and report non-usable, slow moving or excess stock. 
  • Establish new inventory items and notify all departments and nursing of the addition and deletion of discontinued items. 
  • Assist Accounts Payable by rectifying problem invoices and credits relating to purchased items. 
  • Demonstrates knowledge of and accurate use of the Materials Management computer system. 
  • Understands the proper handling and storage of hazardous materials.  
  • Supports the policies and procedures of the organization and the standards of the Joint Commission as required for full accreditation. 

EDUCATION and/or EXPERIENCE
One year of experience is preferred.
