BUSINESS OFFICE MANAGER JOB SUMMARY:

The Business Office Manager is responsible for overseeing the day-to-day financial and administrative operations of the senior living community. This position plays a key role in ensuring accuracy in billing, payroll, human resources, and vendor relations. The ideal candidate is detail-oriented, organized, and passionate about serving seniors in a supportive and respectful environment.

BUSINESS OFFICE MANAGER KEY RESPONSIBILITIES INCLUDE:

Financial & Accounting:

Manage accounts receivable and accounts payable processes

Ensure timely and accurate resident billing and collections

Maintain accurate financial records in accordance with company policies

Assist with budget preparation and financial reporting

Reconcile bank statements and resolve discrepancies

Payroll & HR Support:

Maintain employee records and files in accordance with HR policies

Support onboarding and orientation for new hires

Track attendance, PTO, and benefits administration

Assist with workers' compensation, unemployment claims, and leave management

Administrative:

Oversee front office operations and administrative support staff (if applicable)

Manage office supplies, mail distribution, and vendor communications

Maintain resident financial files and confidential information

Respond to resident and family inquiries related to billing or administrative matters

Ensure compliance with all regulatory, legal, and organizational standards


Qualifications:

Associate's or Bachelor's degree in Business Administration, Accounting, or related field preferred

2+ years of business office experience, ideally in senior living, healthcare, or property management

Knowledge of accounts receivable/payable, payroll, and general accounting practices

Familiarity with Medicare/Medicaid/insurance billing is a plus

Strong organizational, analytical, and problem-solving skills

Proficient in Microsoft Office Suite and accounting software (e.g., AppFolio)

Excellent interpersonal and communication skills

Ability to maintain confidentiality and work independently
