Job description

Overview

We are seeking a highly organized, detail-oriented Marketing Project Manager to manage advisor marketing projects from beginning to end. This role serves as the project-management bridge between our Marketing Consultants, Creative Team, advisors, vendors, and internal leadership.

The Marketing Project Manager will gather project information, organize the details, build and maintain projects in Asana, coordinate team members, track deadlines, and ensure projects move forward through completion. This role will also support corporate marketing initiatives and provide project-management support to the VP of Marketing and leadership team.

Key Responsibilities

Advisor Project Management

  • Manage advisor marketing projects from initial request through final delivery.
  • Gather project details, requirements, assets, deadlines, and approvals from Marketing Consultants.
  • Build and maintain projects in Asana, including tasks, owners, deadlines, and dependencies.
  • Coordinate projects between Marketing Consultants, Creative Team members, vendors, advisors and other stakeholders.
  • Track project progress and proactively follow up on outstanding tasks.
  • Hold team members accountable to deadlines and deliverables.
  • Identify missing information, bottlenecks, or potential delays and communicate them early.
  • Coordinate revisions, approvals, and final delivery.
  • Keep Marketing Consultants informed of project status and next steps.
  • Coordinate compliance reviews and approvals, ensuring required marketing materials are submitted, tracked, and approved before release.

Corporate & Leadership Support

  • Coordinate assigned corporate marketing projects, campaigns, events, and initiatives.
  • Help turn leadership priorities into organized project plans and actionable tasks.
  • Track deadlines, action items, and deliverables for the VP of Marketing and leadership team.
  • Provide project updates and flag issues that require attention.
  • Help improve and standardize project-management processes across the marketing department.

Asana Management

  • Maintain accurate and organized Asana projects and workflows.
  • Create project templates and establish consistent processes.
  • Monitor deadlines, workload, and project status.
  • Help improve Asana workflows, automation, and reporting.

Qualifications

  • 2–4 years of experience in project coordination, project management, marketing operations, or a related field.
  • Strong Asana or project-management platform experience preferred.
  • Exceptional organization, attention to detail, and follow-through.
  • Ability to manage multiple projects and competing priorities.
  • Strong communication skills and confidence following-up with team members.
  • Proactive problem-solver who naturally looks ahead and identifies what needs to happen next.
  • Comfortable working with creative teams, leadership, vendors, and advisors.
  • Financial services or wealth management experience is a plus.
