The Fine Homes Group is a high-performing real estate team serving Southern New Hampshire and Northern Massachusetts. We're looking for a Real Estate Administrative Assistant who will play a critical role in supporting our agents, delivering an exceptional client experience, and helping our business operate at a high level.

This is not a role where you'll simply answer phones and manage paperwork. You'll become a key member of our team, helping coordinate transactions, manage listings, support marketing efforts, and ensure every client receives outstanding service from contract to closing.

We're looking for someone who loves details, enjoys solving problems, communicates confidently, and takes pride in getting things done the right way.

What You'll DoTransaction Coordination
  • Manage buyer and seller transactions from executed contract through closing
  • Ensure all documents, signatures, deadlines, and contractual requirements are completed accurately and on time
  • Coordinate communication between agents, clients, lenders, attorneys, title companies, and vendors
  • Monitor transaction timelines and proactively address potential issues before they become problems
  • Help create a smooth, organized, and professional experience for every client
Listing Coordination
  • Manage the listing process from signed listing agreement through market launch
  • Collect and organize property information, disclosures, upgrades, and documentation
  • Coordinate photography, marketing preparation, showing schedules, and open house logistics
  • Enter and maintain accurate listing information in the MLS
  • Communicate regularly with sellers to keep them informed throughout the process
Administrative & Operational Support
  • Maintain accurate records and databases
  • Support team systems, processes, and organization
  • Assist with marketing and administrative projects as needed
  • Continuously identify opportunities to improve efficiency and streamline operations
