RFP Specialist- REMOTE
Work Hours: 9 am - 6 pm EST M-F (after hours as needed)
Pay Scale: $ 50,000- $ 70,000 yearly

Job Summary
Are you a proven proposal strategist who loves the thrill of the win and thrives on turning complex RFPs into high-scoring, win-ready submissions? We are seeking an ambitious, high-energy Senior RFP Specialist to own our business development execution and elevate our proposal operations.
This isn't an administrative coordinator role; it is a high-visibility, senior individual contributor position for a proactive hunter and persuasive writer. We need someone who can track down high-value opportunities, manage tight deadlines with ease, and craft compelling narratives from start to finish. You will serve as the engine of our RFP process, turning complex client requirements into sharp, competitive submissions that win contracts.
Key Responsibilities
1. Opportunity Sourcing & Pipeline Management
  • Proactive Discovery: Continuously monitor procurement portals, industry databases, and client networks to identify, qualify, and surface strategic RFP, RFI, and RFQ opportunities.
  • Go/No-Go Evaluation: Analyze solicitation requirements against core business capabilities to help leadership make data-driven pursuit decisions.
  • Pipeline Ownership: Manage the master proposal calendar, ensuring all milestone reviews, partner inputs, and submission deadlines are met without exception.

2. Proposal Narrative & Content Strategy
  • Persuasive Writing: Draft original, high-impact proposal copy tailored to client pain points, evaluation criteria, and value propositions-moving well beyond boilerplate responses.
  • Subject Matter Collaboration: Interview internal technical leads and executives to translate complex solutions into clear, engaging, client-centric narratives.
  • Content Asset Management: Build, organize, and continuously update a robust library of reusable proposal assets, past performance write-ups, case studies, and compliance materials.

3. End-to-End Pursuit Execution
  • Project Management: Lead proposal kickoff meetings, establish section ownership, enforce review schedules, and keep cross-functional stakeholders accountable to tight deadlines.
  • Compliance & Quality Assurance: Ensure 100% compliance with every RFP requirement, including page limits, formatting standards, mandatory attachments, and legal guidelines.
  • Final Delivery: Format, proofread, package, and execute final proposal submissions across various client procurement portals.

Qualifications & Experience
  • Experience: 3-5+ years of dedicated, hands-on experience writing, coordinating, and managing RFPs/proposals in a fast-paced environment.
  • Writing & Editing Mastery: Superior narrative drafting skills with an eagle eye for detail, tone, and persuasive messaging.
  • Project Leadership: Exceptional organizational skills-calm under pressure, hyper-attentive to deadlines, and comfortable keeping senior stakeholders on schedule.
  • Technical Aptitude: Proficient with RFP management software (e.g., Responsive), procurement portals, CRM platforms, and advanced document formatting.
  • Education & Background: Relevant degree (Communications, Business, Marketing, English) or equivalent real-world experience demonstrating exceptional written communication and project management capability.

  • Prolonged periods sitting at a desk and working on a computer.

Work Environment
  • Primarily remote/hybrid office setting with standard business hours; occasional flexibility required to support month-end and quarter-end reporting deadlines.
