Role Overview


The Executive Assistant to the Senior Director of Executive Protection is a full-time, on-site role providing high-level, comprehensive administrative support to the Senior Director, serving as a trusted right-hand partner and proxy when needed.

This role interfaces regularly with senior leadership, the executive team, Board of Directors, security stakeholders, and external partners across law enforcement, private security, and risk management industries.


The ideal candidate is highly organized, proactive, discreet, and able to anticipate needs while exercising sound judgment in a fast-paced environment. Given the sensitive nature of executive protection operations, this role requires an exceptional level of professionalism, confidentiality, and discretion.


Key Responsibilities


Executive Calendar & Schedule Management

  • Manage and maintain the Senior Directorโ€™s complex calendar across multiple time zones.
  • Coordinate meetings, briefings, site visits, travel, and other executive engagements.
  • Proactively identify and resolve scheduling conflicts.
  • Ensure schedules remain aligned with security operations, business priorities, and executive availability.
  • Anticipate scheduling needs and proactively prepare for upcoming commitments.


Communication & Stakeholder Coordination

  • Serve as a primary point of contact between the Senior Director and internal and external stakeholders.
  • Coordinate with C-suite executives, executive assistants, law enforcement agencies, private security partners, and other stakeholders.
  • Manage correspondence, emails, and calls on behalf of the Senior Director with professionalism and sound judgment.
  • Maintain strong working relationships with executive assistants, security personnel, and key organizational partners.
  • Exercise discretion when determining appropriate information flow and escalation.


Meeting Coordination & Executive Briefings

  • Prepare meeting agendas, briefing materials, presentations, and meeting minutes.
  • Ensure the Senior Director is fully prepared for meetings, briefings, operational reviews, and leadership presentations.
  • Track action items and follow up with stakeholders to ensure timely completion.
  • Coordinate logistics and materials for executive and security-related meetings.


Project & Operations Support

  • Support special projects, research, analysis, and other initiatives directed by the Senior Director.
  • Track departmental initiatives, deliverables, and deadlines.
  • Coordinate information and resources across the Executive Protection team.
  • Support security advance work, logistics, and resource planning for executive travel and events.
  • Assist with cross-functional projects and operational priorities as needed.


Document & Information Management

  • Organize and maintain highly confidential files, operational records, and sensitive documentation.
  • Prepare reports, presentations, briefing materials, and other executive-level documentation.
  • Maintain accurate and organized records in accordance with company protocols.
  • Ensure sensitive information is appropriately handled and shared only with authorized stakeholders.


Expense & Budget Management

  • Process and reconcile executive and departmental expense reports.
  • Maintain departmental budgeting documentation and financial records.
  • Support accurate tracking and reporting of expenses.
  • Coordinate with Finance and other internal teams to resolve expense-related issues.


Confidentiality & Discretion

  • Maintain the highest level of confidentiality when handling sensitive personnel, operational, executive protection, and security-related information.
  • Exercise sound judgment when managing information and communications on behalf of the Senior Director.
  • Safeguard confidential documents, communications, schedules, and operational information.
  • Demonstrate professionalism and discretion in all interactions.


Qualifications

  • Proven experience providing high-level executive or senior administrative support.
  • Experience supporting senior executives, C-suite leaders, or senior directors preferred.
  • Exceptional calendar management and organizational skills.
