Job description

Administrative Assistant

The Administrative Assistant is responsible for supporting the Director of Manufacturing and his team to help them stay organized and complete tasks that allow them to focus on more advanced responsibilities. The core duties and responsibilities of the Administrative Assistant revolve around supporting others as needed. On any given day, the main job tasks may vary according to business needs.

Essential Responsibilities/Activities:

  • Answer phones and greet visitors
  • Schedule appointments and maintain calendars
  • Schedule and coordinate staff and other meetings
  • Collate and distribute mail
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence
  • Write and edit documents from letters to reports and instructional documents
  • Create and maintain filing systems, both electronic and physical
  • Manage accounts and perform bookkeeping as needed
  • Ability to work independently and as part of a team a must
  • Accounting/budget experience is preferred.
  • Strong organizational skills.
  • Ability to implement standard office and able to operate office equipment.
  • Excellent verbal and written communication skills.
  • Previous successful experience in an office/manufacturing environment.
  • Excellent interpersonal skills.
  • Ability to effectively interact with the business industry and staff members.

Education Requirements:

  • Computer skills: Proficient with MS Office applications (Word, Excel, PowerPoint, and Access).
  • HS/GED Graduate.
  • Associate or Trading school preferred

Essential Mental Functions:

  • Ability to access, input, and retrieve information from the computer
  • Ability to communicate effectively with all levels of the organization
  • Ability to adapt to changes due to business needs
  • Ability to maintain confidentiality is a MUST

Essential Physical Functions:

  • Lift up to 25 lbs.
  • Climbing
  • Stooping
  • Sitting for prolonged periods
  • Requires frequent visits to manufacturing facility with seasonal hot and cold temperatures, dust, and some chemical fume exposure.
